Executes and leads the timely completion of the Americans with Disabilities (ADA) interactive process for workplace accommodations. Works collaboratively with Vendor AMS and Vendor Accommodations and associate(s) Manager to coordinate ministry post leave return to work and accommodation requests.
Supports the ministry as the contact for leave issues and benefits related to leave, including leaves, pay and reasonable accommodations. Responds in a timely manner to escalated inquiries, phone calls and emails. Partners with team members at all levels internally to include legal and with Vendor partner, resolves issues escalated from HR ServiceNow or from the vendor.
Handles internal ministry post leave actions, including end of leave processes in collaboration with other ministry stakeholders to evaluate accommodation and/or up to termination. Continuous timely communication between associate, Manager, and stakeholders to provide effective case management.
Analyzes Vendor reporting data, Workday, Dimensions and Vendor portal and takes appropriate actions to ensure compliance with federal, state, company plans, BSMH pay to include represented associates and alignment with CBA; escalates activities inconsistent with the need for leave to appropriate resources. Reviews vendor reported transactions for intermittent FMLA leave to ensure consistency with ministry policy. Audits leaves and returns to work for policy compliance.
Handles pay auditing and oversight for leaves, processing special pay situations to avoid double pay or over payments. Coordinates with payroll to process leave pay transactions for: administrative leaves, military supplemental pay, mission pay, corrections, retroactive adjustments in leave pay (historical corrections), workers compensation buy backs, overpayments, and any pay process via BSMH payroll. Audits leave/pay reports daily for accuracy/compliance.
Works collaboratively and professionally to implement the internal procedures that will facilitate the ministry strategy for fully outsourced leave management with pay automation. Builds and maintains positive relationships with vendor and within the ministry.
Maintain knowledge of all applicable federal and state laws and regulations in relations to Absence Management to ensure compliance and minimize risk.
Responds to day-to-day questions and concerns regarding leave, medical restrictions, disability pay and/ salary continuation in a timely manner, with superior customer service, and furthering implementation of leave procedures and ministry policies. Provides advisement and consultation to department managers related to FMLA, leave of absence and unscheduled absence related matters.
Serves as escalated contact for outsourced claim management involving Short Term Disability (STD), Long Term Disability (LTD), Parental pay, Family Medical Leave Act (FMLA), Salary Continuation, Medical and other leaves according to plan documents, policies, procedures and applicable laws that govern them.

Primary Function/General Purpose of Position
The Absence and Accommodation Partner owns day to day operational responsibility as the escalation point and subject matter expert on Absence / Benefits / Americans with Disabilities Act (ADA) Accommodations and Pay to include Application Programming Interfaces (API) integration, resolution of HR ServiceNow issues and other absence/benefits/accommodations escalations. This partner will integrate the vendor leave platform and processes across the ministry and resolve escalated leave operations and all pay/benefit issues (disability, sick banks, parental pay and any other appropriate leave pay), resolve STD and LTD issues related to absence, have a thorough understanding of the API integration and how to solve errors / issues using critical thinking and analytical skills. Manages leave cases for 300-400 associates.

Education Qualifications
Minimum Education (Required):
Bachelors Or Equivalent Experience
Field of Study- Human Resources or other business-related degree or equivalent experience
Licensure/Certification (Required):
DMEC-Certified Leave Management Specialists (CLMS) (eligible to take exam within 6 months of hire if not already certified)
Licensure/Certification (Preferred):
PHR and/or Disability Specialist Certification
Work Experience
Minimum Years and Type of Experience (Required):
1-3 years of absence/leave management and workplace ADA accommodations experience, Workday, timekeeping (preferably UKG Kronos Dimensions). Excellent verbal and written communication with strong analytical skills.
Minimum Years and Type of Experience (Preferred):
Strong analytical, effective interpersonal skills, ability to work independently but also collaboratively, innovative thinker, proficient in technology including Microsoft office, experience with leave programs and payroll processing systems (i.e. Workday/Kronos/Dimensions), subject matter expert of FMLA, ADA and state and local leave laws, and related benefits, able to establish self and credibility within BSMH, understanding of Application Programming Interfaces (API) integration
Work Routines
Remote - Rarely required to report to a work location In-person collaboration maybe required when necessary. Associates may live anywhere but recommend in the footprint when possible.
Work every other Sunday (payroll close) – hours would vary based upon review of Vendor API errors/auditing needed. As API progresses & is finalized expectation is to stop working Sunday's.
