The Accounting, Administrative, & Purchasing Assistant will provide support to ensure efficient office operations and contribute to the success of the accounting, administration, and purchasing team. This role requires a strong ability to multitask, exceptional organizational skills, and a proactive approach to problem-solving.
ESSENTIAL FUNCTIONS OF THE JOB AND THE PERCENTAGE OF TIME SPENT ON EACH FUNCTION
25% - Office Administration:
o Assist the Director of Accounting and Administration Manager with duties such as team correspondence, team presentations, meeting arrangements, and scheduling.
o Maintain and update administrative and purchasing area office supplies. Report any needs to the Office Manager.
o Input and maintain data in various software systems (BuildOps, MS Office, Paylocity, etc)
o Develop and implement office procedures and systems to enhance efficiency and organization.
o Assist with preparation and coordination of company events, meeting, and training sessions.
25% - Administrative Support:
o Provide support to the administrative team, including managing project or job documentation, managing calendars, and coordinating vendors.
o Prepare and edit correspondence, reports, and presentations.
o Maintain and update filing systems, both electronic and physical.
o Handle incoming calls, emails, and other communications, directing them to the appropriate team members.
25%-Purchasing Support:
o Assist in the procurement process, including document management, preparing purchase orders, and tracking orders.
o Maintain vendor contact information and manage supplier relationships.
o Process and track purchase requisitions and ensure timely delivery of goods and services
15%- Client & Team Interaction:
o Serve as the first point of contact for the Accounting, Administrative, and Purchasing team for clients and visitors, providing a professional and welcoming experience.
o Facilitate communications between clients, vendors, and internal teams to resolve issues and ensure smooth operations.
10%- Continuous Improvement:
o Identify opportunities for process improvement and operational efficiency, implementing best practices to enhance the overall performance of the estimating and construction operations.
