    • Compiles and posts check requests and vendor invoices on purchase orders and pay vouchers.
    • Processes checks and disbursements in a timely and accurate manner.
    • Reviews and monitors payments made to vendors using Purchasing Cards.
    • Ensures proper approvals, documentation, and compliance with fiscal policy.
    • Monitors and reconciles vendor statements for outstanding invoices and takes steps to resolve.
    • Provides financial software and accounting process support to schools and departments.
    • Assists with annual school audits by assignment.
    • Supports other team members when needed.
    • Generate and review required reports from the accounting system
    • Other duties as assigned.
    • Ability to work with technology, including accounting software and Microsoft Office applications.
    • Excellent written and oral communication skills.
    • Requires attention to detail with strong problem solving and analytical skills.
    • Background in bookkeeping, budgeting, or accounting desirable.
    • Ability to deal with people in a professional manner which shows sensitivity, tact, and professionalism.
    • Team-oriented and ability to work effectively with others.
    • Ability to organize work and materials and manage workload in a timely manner.
    • Ability to maintain confidentiality of district, employee, and other information.

    • High School diploma or equivalent.
    • Type test of 55 wpm or better preferred.
    • 12 months of prior full-time secretarial work experience preferred.

      Job Summary

      Provides accounts payable and related administrative support services for the accounting department. Maintains accurate records to ensure timely payments of vendor invoices and pay vouchers; will need to establish and maintain good relationships with vendors, as well as employees across the district and its schools.

      Essential Functions
      • Compiles and posts check requests and vendor invoices on purchase orders and pay vouchers.

      • 12 months of prior full-time secretarial work experience preferred.

      Decision Making Authority

      Prioritizes own work. Determines quality of work done by secretarial staff. Determines work assignments and deadlines. Determines when to alert supervisor concerning potential budget overruns. Recommends solutions to problems to department director. Recommends software and other enhancements to supervisor.

      Non-Supervisory Interaction

      Interacts with various employee and community groups.

      Supervisory Responsibility

      None

      Working Environment

      Standard office conditions. Deals with multiple supervisors. Works on multiple assignments with deadlines. Handles concerned patrons and deals with frequent interruptions.

      Physical Demands

      Requires the ability to sit, stand, walk, stoop, kneel, crouch or crawl. Ability to reach with hands and arms, use hands to finger, handle or feel. Ability to talk or hear. Vision abilities include close vision, distance vision, color vision and ability to focus. Physical demands require moving and lifting supplies, equipment, etc. up to 25 pounds and occasionally lift and/or move up to 50 pounds.
