      Administrative Assistant will provide a high level of administrative support to the Division Chair and faculty/staff of the Division of Pharmaceutics and Pharmacology located in the Riffe building; this position will be responsible for maintaining a complicated appointment calendar requiring independent decision-making in coordination of chairperson’s daily activities; arranges and processes travel requests and reimbursements; utilizes Workday to process and manage procurement; arranges for speaker’s travel and lodging; schedules meetings, prepares agendas; advises division chairperson, faculty, and staff on University and division policies and procedures; assists and supports division chairperson in providing effective communication for the division; schedules and arranges several Division seminar series, including travel for outside speakers; responds to and composes correspondence for the divisional chairperson; handles confidential matters professionally and appropriately; maintains area office and lab supplies; oversees collection and organization of faculty promotion and tenure documents/activities and faculty searches; assists with divisional faculty and graduate student recruitment efforts; keeps and maintains CVs and biosketches; assists with the management of developing, tracking and implementing financial documents including division budgets; assists with pre-grant management; coordinates with IT to update divisional and individual faculty websites, including training faculty labs on maintenance; sends UPS parcel mail; works productively as a team member; position may have opportunity for supervisory responsibilities in the future; performs related and/or additional job duties as assigned by direct supervisor.


      Required Qualifications: High School diploma or GED is required. Applicant must have a minimum of 2 years relevant experience serving in an administrative capacity. Considerable experience with Microsoft Office programs (Word, PowerPoint and Excel). Excellent verbal and written communication skills along with the ability to multi-task.


      Desired Qualifications: A Bachelor’s degree in Business Administration or related field, or an equivalent combination of education and experience is desired; Considerable knowledge of University policies and procedures, including expenditure policies, procurement and travel (utilizing Workday); strong problem solving skills.

      Additional Information:

      The range for this job profile is $42,700 - $56,900. The offer for this position will fall within this range based on internal equity, unit's available budget, and the candidate's qualifications. Position is paid hourly.

      The College of Pharmacy believes in a healthy work/life balance, therefore, the work arrangement for this position is hybrid (i.e., remote and in-office), subject to change based upon the needs of the organization and as determined by College Leadership.
