      Position Overview

      The Division of Mental Health is seeking to hire an Administrative Assistant I for the Elizabeth Packard Mental Health Center located in Springfield, Illinois to perform duties of a highly responsible administrative nature. Performs a variety of staff functions. Assists in the management control of Nursing programs. Conducts special reviews and evaluation projects for the Director of Nursing. Verifies the development of needed information for management decisions. Serves as back-up master scheduler for facility-wide nursing coverage. Serves as correspondence control manager; arranges transportation of inpatients to off-campus locations. Maintains attendance files. Participates in conducting training and schedules staff orientations.

      Essential Functions

      • Performs duties of highly responsible administrative nature for Nursing Services.
      • Serves as correspondence control manager for the Director of Nursing (DON).
      • Arranges transportation of inpatients to off-campus locations.
      • Develops, maintains and serves as the master scheduler for facility-wide direct care staff coverage.
      • Serves as special assistant to the Director of Nursing (DON).
      • Maintains attendance file on unit employees.
      • Participates in conducting training and schedules staff orientation.
      • Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

      Minimum Qualifications

      • Requires knowledge, skill, and mental development equivalent to completion of four (4) years of college, preferably with courses in public or business administration.
      • Requires one (1) year of professional experience in a public or private organization or completion of an agency approved professional management training program.

      Preferred Qualifications

      • Two (2) years of experience meeting deadlines with strong attention to detail while multi-tasking multiple projects.
      • Two (2) years of experience working for a private or public organization, in a social or human services field, maintaining confidentiality and handling sensitive information with professionalism.
      • Two (2) years of professional experience with personal computers and software, such as Microsoft Office, etc.
      • One (1) year of experience conducting special projects for a private or public organization.
      • One (1) year of experience maintaining work schedules verifying adequate coverage.
      • One (1) year of experience communicating effectively both verbally and in writing.

      Conditions of Employment

      • Requires the ability to utilize office equipment, including personal computers.
      • Requires ability to pass the IDHS background check.
      • Requires ability to pass a drug screen for drugs prohibited from recreational use under Illinois Law.
