- Greets, receives, and directs patients and visitors to the appropriate departments.
- Accepts and screens telephone calls while directing inquiries to appropriate staff for resolution.
- Enters and coordinates all patient information into database and prepares monthly activity reports.
- Assist in referring patients to community-based organizations for clothing, obtaining medical assistance, medication and meeting other needs while maintaining an open line of communication.
- Participate in community outreach programs such as health fairs and provide basic education to the general public.
- Assist Patients in making appointments through interpretation between doctors and patients. Serves as an interpreter on-call by telephone during weekends and off shifts.
- Assists in providing general information for patient’s medical insurance with regards to coverage, selecting a primary medical insurance with regards to coverage, selecting a primary care physician, and obtaining their medical records.
- Maintains a daily log of patients visiting the multi-cultural Affairs department and of appointment schedules made through the DMCA.
- Interacts with various departments within the hospital such as registration, Admissions, Patient Relations, Social Services, Financial Counseling, and others for the purpose of gathering data and transmitting information to ensure the well-being of the patient during their stay.
- Assists in maintaining office supplies and other needed equipment, prepares payments for vendors through Lawson system or purchase requests for the department. Correctly prepares purchase request for processing.
- Receives, sorts, and distributes incoming/outgoing mail, collects all reports pertaining to DMCA’s daily Admissions Report, monthly Statistical reports, and others.
- Assists in the development of documents to be used in health fairs, meetings, and special functions, etc.
- Types/edits memorandums, letters, flyers, forms, reports and other documents,
- Promotes adherence to the Health Sciences Compliance Program, The Howard University Code of Ethics and the Health Sciences Standards of Conduct.
- Attends annual and periodic mandatory Compliance program training including the Health Insurance Portability and Accountability Act (HIPAA) Privacy Training.
- Participates in activities that promote adherence to federal healthcare program requirements.
- Actively participates in Health Sciences Compliance Program activities.
- Adheres to the requirements of the HIPAA privacy and policies and procedures.

Hours - Monday-Friday 8:30am-5pm. Must be fluent in both English and Amharic.
Basic Function:
The purpose of this position is to provide administrative, interpretive and clerical support for the Director and the department of Multi-Cultural Affairs and to serve as tan interpreter for patients who do not speak English.
Administrative Assistant ll:
Ability to attend to patients, visitors and co workers in a polite, courteous, positive, and professional manner
Ability to work as a team member to ensure the smooth operations of the office.
Possess a very high regard for confidentiality and privacy.
Possess computer literacy in Microsoft word, Windows, and Excel
Ability to articulate in a concise and professional manner in both English and Amharic
Competence in both oral and written English
Ability to establish and maintain effective and harmonious work relationships with staff, physicians, hospital and university officials and the public.
Minimum Requirements:
High school diploma or General Equivalency Diploma (GED)
Three years of responsible administrative support experience in a multilingual/multicultural environment. Preferably, in a medical environment.
Must be able to type 35 words per minute as demonstrated by taking a typing test administered by the employment office.
Must be able to stand, sit, lift (5-10 lbs.), write, type, file, speak, hear, edit, evaluate, interpret and organize for extended periods of time.
