- Serves as the primary coordinator of the AVP/Director and the Deputy Directors’ complex calendars and schedules. Makes sure identified priorities are addressed in a timely fashion helping to ensure optimum utilization of their time. Plans and organizes meetings chaired by AVP/Director or Deputy Directors, including weekly leadership and periodic team meetings. Organizes records and materials necessary for preparation for meetings, taking of notes, and assisting with follow up after meetings. Assists with various annual updates and supports special projects for the SFS team as needed.
- Manages SFS office needs including computer inventory and maintenance, software upgrades, electronic security, conference room management, space utilization, and travel coordination. Position manages internal-facing SWC spaces, including ordering supplies for people and spaces. The position provides coordination and support of SFS led training events.
- Complete aid-related “tasks” in support of recruitment and aid renewal based on point in annual cycle. Tasks may include processing documents, data entry, following up with students and families via multiple communication means, and other routine aid tasks.
- Manages SFS’s community outreach program by communicating directly with local high school counselors to schedule presentations and working with SFS counselors to ensure we have someone available for these (mostly) evening activities. Support of community outreach includes proactive support in updating and organizing PowerPoint and other presentations in support of community outreach. Position also supports other SFS-delivered presentations and content.
- Serves as the SFS point person and day-to-day supervisor to any work study students or interns working in SFS. The administrative and financial aid coordinator works with SFS staff to identify and understand projects for student workers and ensures student workers are making progress toward project completion. Additionally, the administrative and financial aid coordinator oversees schedules for student workers.
- Assists with departmental budget and projections and oversees departmental accounts payable.

This Administrative and Financial Aid Coordinator in Student Financial Services (SFS) provides administrative and operational support to the AVP and Director of SFS, the two Deputy Directors, as well as administrative support to all staff in SFS. This position plays an important role in student recruitment through regular interaction with parents and students as they work with SFS, through management of SFS’s community outreach program, and through special project assistance to support service to students and families as assigned by the AVP/Director or the Deputy Directors. Position supports financial aid processing through completion of various financial aid related tasks. Position provides backup non-public Sumers Welcome Center (SWC) facility management.Job Description
