      OVERVIEW:

      The United Way Montgomery County Center is seeking a multi-talented Administrative Coordinator to support operations which include performing an array of administrative duties with a high degree of initiative, speed and accuracy. The Administrative Coordinator is primarily responsible for answering and routing phone calls, responding to routine inquires/requests, conference room bookings, key and badge issuance, data entry, ordering supplies, handling department accounting functions, preparing reports, etc. Additionally, serves as contact for building tenants and ensures the center meets health and safety standards in collaboration with the Facilities Department, building security and custodial services.

      PRINCIPAL DUTIES & RESPONSIBILITES:

      • Ensures the facility meets health and safety standards in collaboration with Facilities Department, building security and custodial services companies. Serves as liaison with Facilities Department for building maintenance and repair of office/building equipment. Handles communications with building tenants and plans tenant meetings. Ensures smooth transition of tenant staff by relocating offices, phone systems management, issuing tenant keys and security badges. Maintains key inventory as well as monitors key distribution and return. Troubleshoots badge access system. Responsible for conference room reservations, room set-up, communications with agencies and follows-up when necessary.
      • Provides administrative support that includes, but is not limited to, answering and routing phone calls, responding to routine inquires and requests, data entry, ordering supplies, handling department accounting functions, preparing reports, presentations, and materials. Implements department's programs and processes, using specialized software programs and knowledge pertinent to the department's activities.
      • Performs advanced administrative or project-oriented duties as assigned by supervisor with a high degree of accuracy. Investigates, prioritizes, and determines best approach to manage projects within specific time constraints. Assists in keeping projects on schedule and takes initiative in manager's absence.

      Required 3 years

      Three or more years advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Access, Teams) and online survey software (i.e., Alchemer, Doodle Poll, etc.). Must possess strong working knowledge of office systems and equipment (PC, printer, copier, etc.) Must demonstrate excellence in verbal, written, and interpersonal communication skills. Must exhibit high attention to detail, organization, planning and problem-solving skills.
