- Greet and assist alumni visitors, donors, students, and stakeholders of the Advancement Office in a professional and friendly manner. Serve as backup for the alumni inbox and phone lines as needed.
- Manage and maintain the physical location of the Advancement Department within 111 Livingston to create a conducive work environment, including daily management and coordination of incoming and outgoing mail.
- Collaborate with Advancement Services to support the updating and maintenance of alumni records in the database, ensuring the accuracy and currency of information.
- Prepare and generate reports, budgets, and financial documentation, contributing to the effective monitoring and operation of the department.
- Coordinate with Director’s to manage and reconcile expenditures, invoices, and financial records to ensure accuracy and compliance.
- Collaborate to schedule and coordinate internal and external meetings, ensuring optimal time management and the participation of key stakeholders.
- Coordinate All-Staff meetings, staff retreats, and special training sessions, and manage and maintain Advancement team calendars.
- Coordinate equipment installation and maintenance, ensuring the smooth operation of departmental resources.
- Handle inventory management, distribution, and track promotional materials, supplies, and resources.
- Collaborate with various stakeholders, including vendors, consultants, and internal staff, to ensure smooth operations and timely completion of projects.
- Participate in training sessions and seminars to enhance knowledge in areas related to safety, management, and best practices.
- Maintain comprehensive records of departmental procedures and policies to facilitate efficiency and communication.
- Works in collaboration with the Chief Advancement Officer and Directors to coordinate projects for student workers and interns.
- Support other projects as needed and assist with Advancement events as required.
- Bachelor’s degree with at least 3 years of experience in a professional office setting, preferably in higher education
- Professional or lived experience in the NYC market is preferred.
- Proven track record in operations and project management, ideally within a higher education or nonprofit environment.
- Strong organizational, analytical, and problem-solving abilities.
- Excellent written and verbal communication skills, with the capacity to convey progress, concerns, and recommendations diplomatically and promptly. Proficiency in budget management, financial reporting, and documentation.
- Self-motivated with the ability to manage multiple tasks, prioritize effectively, and meet deadlines consistently.
- Familiarity with relevant software and tools for operations and project management, including Salesforce CRM database, Microsoft Suite, Excel, Zoom, and LinkedIn.

RANGE: $55,000 - $65,000

Reporting directly to the Chief Advancement Officer, the Advancement Coordinator will play a critical role in coordinating and streamlining the dynamic operations of the Advancement team. Acting as a strategic partner, this position involves managing special projects, aligning workflows, and ensuring the seamless integration of all departmental activities. The role also encompasses oversight of the department’s physical presence at 111 Livingston, as well as generating essential reports and documentation related to expenditures, budgets, invoices, and resource allocation. Additionally, the Advancement Coordinator will manage the procurement and inventory of equipment, facilities, supplies, and promotional materials, ensuring operational efficiency. This position is ideal for a proactive professional who thrives in managing complex initiatives, fostering collaboration, and maintaining clarity in a fast-paced environment.
