- In cooperation with the VP for SIA, develop an annual schedule of CE/CME programs (currently 3-4 per year).
- Manages event management platforms (e.g., Cvent):
- Creates program registration templates
- Oversees event attendance guidelines
- Other platform elements
- Manages all production elements of ICO CE programs, including in-person and virtual events, as well as archives CE programs for on-demand consumption.
- Supervise related work-study students, including approving time in ADP.
- Secures and coordinates catering for all CE programs.
- Travels to CE events as necessary to ensure sponsorship compliance.
- Solicits and implements external CE/CME sponsorships, including:
- Academic sponsorship of non-ICO programs
- CEE exam grading for external constituents (e.g., Illinois Optometric Association CE programs)
- Ensure compliance with CE/CME accreditation organizations:
- COPE
- CE Broker
- State boards
- Others
- Works with vendor/IS to coordinate online streaming of CE events when applicable.
- Manages the ICO on-demand archive of CE presentations and related functions.
- Creates and manages a yearly operational budget for CE programs.
- Works with the Senior Director and Coordinator of Development and External Affairs to identify and support the solicitation of corporate sponsorships and grants and other collateral revenue opportunities associated with ICO CE programs.
- In cooperation with the Communications Team, develop marketing tactics for CE programs.
- In cooperation with the ICO Business Office, manages reimbursement for CE speakers and vendors.
- In cooperation with other ICO departments (e.g., Facilities, IS, Security, etc.) coordinates operational aspects of CE on a timely basis.
- Coordinates the creation and distribution of CEE examinations in a manner compliant with regulatory organizations.
- Addresses all inquiries from attendees and related parties in a prompt and professional manner.
- Other duties as assigned.
- In cooperation with the VP for SIA and Development Team, plans and manages Homecoming weekend, including class reunion reception, alumni award program, alumni council meetings, educational program, & student/alumni networking opportunities.
- Works with constituents and arranges and manages vendor agreements for the yearly Homecoming event, which traditionally takes place in the fall.
- Works with related constituents and arranges and manages vendor agreements for the yearly Faculty Retreat, which traditionally takes place in the spring.
- Collaborates with other team members to plan and organize events at Optometry-related association meetings.
- Other duties as assigned.
- Possess a Bachelor’s degree
- Experience with Continuing Education program management
- Experience with using Cvent or equivalent software to set up events and related functions
- Experience working with alumni is a plus
- Knowledge of the optometric profession and/or background working within a similar professional program is a plus
- Must be personable and build effective relationships with different groups of individuals, including students, alumni, corporate sponsors, faculty, Board members, and donors
- Must possess exceptional customer service skills with an ability to work independently
- Must be detail-oriented and have excellent communication and writing skills
- Must have the ability to travel and work occasional evenings and weekends (comp days provided for weekend work)
- Experience working with MS Office Suite
- Attendance must be in accordance with College Policy

ASSISTANT DIRECTOR OF CONTINUING EDUCATION AND EVENTS
OFFICE OF STRATEGY AND INSTITUTIONAL ADVANCEMENT (SIA)
LEVEL: Exempt
Salary Range $60,000 - $64,000
REPORTING RELATIONSHIP: Reports to the Vice President for Strategy and Institutional Advancement.
GENERAL SUMMARY: The Assistant Director of Continuing Education and Events oversees all operational aspects of ICO continuing education programs. The Assistant Director collaborates closely with the SIA Team to ensure that CE programs are of the highest quality and meet accreditation standards. Additionally, this position oversees and coordinates events related to Homecoming, the Faculty Retreat, and Alumni mixers at Optometry Association meetings, as well as other Alumni events.
