      Primary Purpose:

      To provide administrative support to the FMI Meeting Services team to include: providing registration, housing and conference logistics support for various FMI conferences, meetings and share groups.

      Essential Job Functions:

      REGISTRATION Duties (50% of position):

      • Act as the project lead for registration for FMI annual meetings and events (currently 6 events per year).
      • Perform various data entry tasks.
      • Provide customer service support via email and phone.
      • Process registration payments.
      • Responsible for producing registration collateral to include badges, tent cards, special event ticketing and other collateral.
      • Create attendee lists and financial reports as well as reports including historical data.
      • Responsible for hiring and managing on-site temporaries and third-party vendors.
      • Create and maintain FMI?s event database (Matrix MAXX) to display on FMI?s website, updating specific meeting information and generating the online registration process.
      • Review and qualify submitted registrations to ensure attendees register at the proper rate. When necessary, make fee adjustments and follow-up with attendees to collect additional payment.
      • Utilize the On-Demand Badge system to manage onsite printing needs.
      • Provide and pack all registration materials for assigned events.
      • Support Senior Manager, Registration with other projects as needed.

      MEETING SERVICES Duties (50% of position):

      • Work with FMI project leads for small share groups on hotel or venue searches and contracting. Facilitate assigned small event operations to include: budgeting, room set-up, audiovisual selection, food and beverage ordering, tours, transportation and additional basic meeting logistics.
      • Assist our Housing Services team to process hotel reservations for attendees, cross-reference housing lists with attendee lists, manage staff and vendor hotel blocks and provide housing customer service via email and/or phone.
      • Maintain the official Industry Calendar of Events, department calendar and various meeting and hotel lists for the Meeting Services team using Microsoft Office Excel.
      • Support Senior Manager, Meeting Services with other projects as needed.

      Other Job Functions:

      • Order and maintain department supplies, as needed.
      • Respond to incoming customer inquiries through the Meeting Services dedicated phone line and email addresses.
      • Other duties and projects as assigned or directed as it pertains to the Registration and/or Meeting Services departments.
      • Budget management.
