      Charles Schwab Trust Bank provides trust, custody, trading, and technical services to retirement plan sponsors, advisors, and their agents . Cash Operations’ goal is to meet the needs of CSTB by providing superior client service as it relates to the processing of incoming and outgoing cash activity and all associated regulatory reporting. Specifically, the Distributions Team is responsible for the fulfillment of disbursements and distributions (including returned/rejected payments), facilitating and complying with OFAC requirements, completing special handling requests, processing incoming mail, and effectively communicating with various departments daily. We also manage relationships with internal business partners, maintain and test various internal and vendor-supplied systems, and ensure absolute compliance with all governing regulations and requirements. Our primary objective is to successfully process significant cash activity, in accordance with client directives, while maintaining proper controls to mitigate risk to the firm.

      This position will be responsible for processing distributions and disbursements in accordance with client directives and IRS guidelines as well as responding to inquiries from various departments in relation to transactions processed. Retirement industry and associated tax experience is a plus, although not required.

      This is an extremely fast paced, meticulous, and deadline-driven position which may require overtime during critical production periods.

      As a Distributions Associate, you are expected to contribute to a collaborative, team environment as you perform the following daily functions within carefully defined procedures:

      Preparing labels for overnight mailing checks, confirmations, and/or tax forms; entering transactions manually or via import, decisioning possible OFAC matches, facilitating wire funding, scanning files and printing checks, confirmations, and/or tax forms; generating and transmitting critical files; stuffing, and reviewing mail; ensuring USPS mail is picked up and overnight mail is dropped off timely; processing stop payments and ACH/Wire returns/recalls; fulfilling audit requests; recording metrics; securing NPI (Non-Public Information); processing incoming/returned mail items; and completing miscellaneous clerical tasks and research requests.

      • Strong organizational skills and ability to prioritize and coordinate multiple processes.
      • Ability to communicate professionally and clearly.
      • Ability to work and learn in a high volume, fast paced, collaborative environment.
      • Basic knowledge of Microsoft applications including but not limited to Excel, Outlook, and Word

      Required Licenses: None

      Physical Requirements: Work is primarily sedentary in nature; no special demands are required. This job does require in office activity daily which includes opening returned mail and handling/sorting physical checks.
