- Project Management: Responsible for day-to-day facilitation of project work on behalf of assigned clients.
- Stakeholder Engagement: Ongoing engagement with clients specific to active project work and/or initiatives.
- Team Enablement: Facilitation of the timely flow of information to enable cross-functional team performance.
- Combines marketing communications and brand acumen to effectively scope, initiate, and facilitate the execution of assigned projects.
- Organizes, manages, prioritizes, and accountable for project workflows from initiation, creative development through production and delivery/go-live.
- Evaluates the clarity and thoroughness of incoming briefs to ensure the essentials are appropriately documented prior to initiating project work.
- Accurately estimates and regularly monitors project costs to identify concerns, mitigate risks, and successfully deliver on budget.
- Supports identification of cost and resource efficiencies throughout project lifecycles.
- Proactively guides projects through Gallo Creative’s internal system, demonstrating compliance with workflow processes and project management practices (scheduling, tracking and reporting) on behalf of assigned clients.
- Closely monitors timelines to ensure work is executed and client review/approval steps are adhered to per agreed-upon project schedules, adjusting as needed.
- Proactively communicates with cross-functional project teams within Gallo Creative and the broader enterprise (e.g., Business Agility, Communications, Compliance, Digital, Engineering, Legal, Marketing, Media, Operations, etc.), working collaboratively to resolve delays and/or clear roadblocks.
- Makes thorough, timely entries and workflow-related updates in designated project system(s), updating tasks, logging time and uploading required documents, as needed.
- Engages with clients during project-intake, scheduling, and review/approval, setting appropriate expectations and ensuring their understanding of next steps.
- Provides timely updates to clients and cross functional partners including project scheduling, budgeting, status reports, and meeting summaries.
- Proactively communicates project status and/or delays and offers solutions to clients on alternative approaches that serve the needs of the project without compromising the project team.
- Demonstrates active listening skills, asking questions and clarifying key points to confirm understanding of expressed needs, requests, and/or concerns.
- Applies critical thinking skills in communicating with clients; offers thoughtful ideas and business-based suggestions rather than expecting the client to prescribe a solution.
- Actively participates in Agile and/or Scrum teams and ceremonies to include prioritizing work, communicating dependencies, articulating tasks, timing and resources, and reconciling backlogs.
- Actively communicates with creative, video, photo, production, and operations colleagues to enable the successful development and delivery of creative project work in accordance with business needs.
- Schedules and leads milestone meetings on behalf of Gallo Creative project teams including project planning, brainstorms, internal reviews, feedback sessions, and postmortems.
- Leads project status meetings with cross-functional teams, reviewing active project work and related deliverables.
- Alerts teams in real-time if projects stray beyond their original scope and/or if client-side expectations change.
- Issues meeting summaries with clearly defined actions including individual responsibilities and next steps.
- Maintains satisfactory attendance, to include timeliness.
- Responsible for understanding and complying with applicable quality, environmental and safety regulatory considerations. If accountable for the work of others, responsible for ensuring their understanding and compliance.
- Bachelor’s degree plus 4 years of marketing communications, advertising, marketing/creative agency, digital, account management, or lean six sigma experience reflecting increasing levels of responsibility; OR Bachelor’s degree plus 3 years of Gallo brand marketing, corporate communications, sales account management, creative design, hospitality, or media/digital marketing reflecting increasing levels of responsibility; OR high school diploma or state-issued equivalency certificate plus 8 years of marketing communications, advertising, marketing/creative agency, digital, account management, or lean six sigma experience reflecting increasing levels of responsibility.
- Ability to interface with clients to scope business needs and formulate project plans that meet those needs.
- Proficiency with the tenets of project management—establishing timelines and budgets, scheduling resources, trafficking deliverables, and facilitating workflows.
- Ability to work independently to manage straightforward to mid-complexity projects start to finish, ensuring work is delivered on time and on budget.
- Excellent time-management skills with the ability to successfully manage multiple concurrent projects.
- Ability to work autonomously and as part of a fast-paced, multi-functional team.
- Customer oriented with strong organizational skills, attention to detail, and follow-through.
- Strong written and verbal communication skills, problem-resolution skills, and relationship building.
- Proficiency with Microsoft 365 productivity apps including Microsoft Teams, Word, Excel, PowerPoint, and Outlook.
- Required to travel to company offices, sites, and/or meeting locations for onboarding, training, meetings, and events for development, department needs, and business delivery up to 5% of the time, with or without reasonable accommodation. This may be in addition to travel requirements, if applicable, as listed in this job description.
- Required to be 18 years or older. This may be in addition to other age requirements, if applicable, as listed in this job description.
- Bachelor’s degree plus 6 years of marketing communications, advertising, marketing/creative agency, digital, account management, or lean six sigma experience reflecting increasing levels of responsibility; OR Bachelor’s degree plus 5 years of Gallo brand marketing, corporate communications, sales account management, creative design, hospitality, or media/digital marketing reflecting increasing levels of responsibility.
- 2 years of experience in project management across print and digital.
- PMP certification from a recognized professional project management training organization.
- External agency experience—specifically, managing and/or trafficking projects on behalf of assorted clients.
- Experience using an automated workflow system to monitor and manage projects.
- Knowledge and understanding of POS, Marketing and Sales functions.
- Hiring Salary Range: $81,000 - $121,600/Year
- Actual compensation amount paid may be lower or higher to be determined by factors other than race and gender such as the education, experience, knowledge, skills and abilities of the applicant, internal equity, and alignment with market data.

Summary:
Responsible for facilitating the execution of mid- to lower-complexity projects on behalf of assigned Brand Marketing, Commerce Marketing, and Corporate clients including packaging, brand activation, POS, digital engagement, video, and print. Supports Client Partnership team lead and/or Senior Project Manager in discovery and definition of complex projects, quantifying resource needs and facilitating the development and delivery of creative outputs. Builds project timelines and cost estimates and actively facilitates project execution on time and on budget. Works in concert with cross-functional colleagues to ensure timely communication and smooth, efficient workflow. Contributes to the advancement of trusted, valued partnerships with clients and colleagues across Gallo.
