Administer all employee benefits programs, ensuring accuracy and compliance with all contracts and legal requirements.
Set up and maintain all record keeping for leave of absence management.
Ensure accurate recordkeeping for plans and employee records by responding to discrepancy reports and performing audits as necessary.
Reconcile invoices and vendor bill payments monthly and annually to maintain accuracy.
Track all benefits payments to ensure costs remain within accrued budget.
Manage benefit enrollment and activities in HR system including benefit event approvals, EOI tracking and passive event. Work with Workday team to resolve issues in a timely manner.
Review weekly integration files to ensure accuracy, research any issues and work with Workday team to resolve.
Administer the recognition program, including specialty groups and quarterly reporting for payroll and finance.
Partner with the Payroll team to ensure accurate payroll deductions each payroll, research and resolve any discrepancies.
Oversee COBRA vendor administration to ensure accurate and timely action.
Complete all reporting requirements internally and externally. Interface with the Safety team to report and administer Worker’s Comp leaves.
Collaborate with benefits vendors and broker to manage accounts and address issues as needed.
Support annual renewal review of benefits plans including recommendations and cost analysis.
Manage administration of open enrollment process for the company. Assist in developing project and communications plan. Facilitate smooth transition for all participants. Install new plans and changes according to contractual agreements, ensuring accurate and timely implementation.
Advise managers and employees on benefits administration, issue resolution and leave management. Handle inquires quickly, courteously, and confidentially. Maintain contact in person, by email, or by phone to facilitate proper and complete administration of claims. Ensure accurate and compliant record-keeping.
Review company compliance with all state and federal benefits laws. Research new federal, provincial, and state laws to help ensure the company remains in compliance.
Prepare necessary annual reports and filings in a timely manner including 5500, ACA 401(k) audit requests.
Maintain internal People Portal through Service Now, including updates to questions in Knowledgebase.
Run reports and analysis of benefits as needed.
Use process improvement skills to identify and implement improvements to simplify complexity, better utilize technology/automation and leverage vendor capabilities to reduce internal work.
You have 3-5 years’ experience in benefits administration.
You have a bachelor’s degree or equivalent experience, preferably in Human Resources Management.
Preferably you hold a benefits certification (Certified Benefits Professional and/or SHRM-CP).
Preferably you have experience working with Canadian benefits plans.
You have demonstrated knowledge of related regulations and laws, including ERISA, HIPAA, ADA OSHA, ESA, ACA and FMLA and preferably experience with Canadian leave regulations.
You regularly demonstrate sound judgment in resolving benefits issues, internally and externally.
You are an excellent communicator, clearly sharing complex information in writing and orally, both in one-on-one and group settings.
You manage your workload and invariably meet multiple, sometimes conflicting, deadlines.
Strong computer skills, including Microsoft Word, Excel, PowerPoint.
Demonstrated HRIS experience, preferably with Workday
