Receives and fulfills personnel file requests for Human Resources staff and others, as requested. Tracks files removed from file room to ensure they are returned. Maintains file room security. Receives, distributes, and files documents. Audits personnel files for compliance with related policies and regulations.
- Receives, opens, analyzes, sorts, and distributes incoming inter-office and U.S. mail. Maintains office correspondence controls such as tickler files. Follows up on assigned responses, due dates, reviews, and signatures.
- Reviews, prepares, and processes new records, changes, and separations for employees. Evaluates documents for completeness and accuracy. Resolves discrepancies as needed.
- Confers with applicants and employees to assist with and resolve questions regarding applicant tracking and separation process through several incoming generic email boxes.
- Prepares and processes employees’ evaluations, professional growth cards, name changes, and separation forms, vacancy reports, and other HR documents as requested.
- Creates, audits, and maintains information using database systems and HR related software. Maintains and updates numerous databases and provides forms to Payroll in a timely manner.
- Prepares and processes employee files per the Records Retention procedures. Requests record retention files from Logistics that are stored when staff requests.
- Collects and distributes subpoena paperwork to the Office of Law
- Meets with Internal Audit for reviewing of files and external investigators for background check information.
- Collects and assembles materials/packets for various office activities.
- Arranges and coordinates appointments, conferences, and schedules. Reserves meeting rooms. Arranges for equipment, supplies, and refreshments needed.
- Provides back-up and assistance to office colleagues as needed.
- Performs other duties as assigned.

REPORTS TO: Chief Human Resources Officer
DEFINITION: Performs complex technical, administrative, and clerical duties in support of the Division of Human Resources. Maintains the Human Resources file room. Creates and maintains filing systems, performs word processing functions, and prepares and processes a variety of office documents. Performs other duties as assigned.

Possession of a high school diploma or appropriate equivalent. Four years of office clerical experience.
