      Summary

      The School Health Clinical Scheduler is responsible for coordinating with school health staff and clinical support teams. This role involves scheduling appointments with providers for students, referring physicians, and facilities, as well as building, editing, communicating, and publishing daily clinical schedules for school health workers. Additionally, the scheduler performs front desk receptionist duties to ensure efficient and effective scheduling operations.

      Schedule: Mondays - Fridays 10:00am - 6:00pm (flexible)

      Description

      • Provide warm, friendly, and excellent customer service through all interactions with students, parents, referral sources, and staff members.
      • Communicate directly with students and parents to accurately schedule, re-schedule, and/or cancel their initial and subsequent appointment requests by following practice scheduling protocols and tools.
      • Develop and maintain a keen understanding of the current software and the scheduling complexities of different roles.
      • Communicate regularly about scheduling conflicts or errors and ensure alignment of scheduling changes with marketing information for special days.
      • Perform front desk receptionist duties, including greeting visitors, answering phones, and managing appointment check-ins.
      • Provide accurate and courteous information regarding our services to physicians and other callers.
      • Respond effectively and promptly to all student, provider, and team member requests.
      • Maintain/update student information and possess a working knowledge of school health protocols.
      • Obtain approval for schedule changes or cancellations as appropriate.
      • Evaluate data in dashboards and reports to help better match schedule needs to staffing workforce.
      • Meet specified goals and objectives assigned by management.
      • Escalate any problems that may arise to management.
      • Complete other duties as assigned or identified based on student needs.
      • Adhere to quality and productivity standards.

      Qualifications

      • Must have 5-7 years of experience, Bachelor’s degree preferred.
      • Bilingual Spanish preferred.
      • Attention to detail is required.
      • Strong organizational skills and the ability to multi-task and prioritize.
      • Ability to work well with others in a team-driven environment.
      • Strong problem-solving skills and the ability to address highly varied, complex, and often non-recurring issues requiring innovative and creative solutions.
      • Ability to set goals and determine how to accomplish defined results with some guidelines.
      • Strong written communication skills and the ability to summarize and communicate moderately complex information in varied written formats to internal and external customers.
