      Job summary

      The post holder will provide a comprehensive secretarial and administrative supportto the Commissioning Review Programme Manager. To work with the minimum of supervision in an organised, efficient, and effective manner. It is essential that the post holder uses initiative compatible to the role and it is vital that confidentiality is maintained at all times. This post demands a high level of responsibility within the remit of indirect patient care. Accurate record keeping and confidentiality are paramount to this position.

      Main duties of the job

      To ensure a comprehensive secretarial and administrative support maintaining quality standards including: supporting Board and committees with preparation of meeting documents, scheduling of meetings, and diary management.

      To ensure a comprehensive secretarial and administrative support maintaining quality standards, this includes:

      Supporting Board Meetings, Workstream Meetings, workshops and other meetings where appropriate.

      To be responsible for taking and transcribing minutes of meetings and responsible for distribution of paperwork in a timely manner, organising a venue, refreshments and equipment as required.

      To circulate information/reports to the programme stakeholders to ensure efficient communication.

      To provide support in the collation and recording of HR and activity information

      To provide electronic diary management

      To arrange accommodation, travel as required.

      To ensure effective dealing with any incoming and outgoing mail.

      To deal with telephone enquiries providing an efficient telephone service to callers and act on these as appropriate.

      Qualifications

      Essential

      • RSA III or equivalent
      • Word processing skills
      • Audio typing skills
      • GCSE English and Maths or equivalent

      Desirable

      • Previous experience as a secretary to a senior manager
      • Shorthand skills

      Knowledge & Experience

      Essential

      • Self-motivated and able to work with limited supervision
      • Able to use personal initiative when prioritising workloads
      • Good IT skills
      • Knowledge of e-mail systems
      • Intermediate knowledge Microsoft Word and Excel packages
      • Ability to adhere to the Data Protection Act

      • Knowledge of hospital PAS system
