- Arrange all aspects of events such as scheduling, marketing and announcements, catering orders, facility rentals, setup, tear down & cleanup, security, staffing, event sequencing logistics, technical, a/v and equipment needs, and other special needs for numerous Arizona Arts events.
- Arrange online-only and hybrid in-person/online events and meetings, requiring proficiency with online applications such as Zoom and serving as host for online events as needed.
- Coordinates and/or performs a variety of activities which may include registration, schedules and timelines, speaker/guest support, catering, audio/visual services, equipment usage, etc.
- Work individually and as part of the events team.
- Maintain the Events Master Calendar; help maintain electronic event files.
- File, post, copy, maintain informational flyers and packets; maintain office supplies, event inventory, equipment, and storage.
- Backup support to the Administrative Assistant of the College of Fine Arts Deans office with a variety of tasks including front office management by triaging telephone calls and walk-in inquiries by guests, faculty, staff and students; mail pick-up/date stamp and distribution; as needed.
- Additional duties as assigned.
- Move, lift, and/or pull marketing materials/swag (boxes), tables, chairs, & other event-related items (Must be able to lift/move/transport up to 50 pounds).
- Bachelor's degree or equivalent advanced learning attained through experience required.
- One year of relevant work experience required.
- Position requires flexible work schedule, including some evenings and weekends, and use of personal vehicle required for errands. Must have a valid driver’s license and ability to drive according to the University Fleet Safety Policy .
- Experience in higher education event planning.
- Experience in planning and executing varying sizes of events.
Conference and Events Planner I Posting Number req17470 Department Fine Arts Administration Department Website Link https://cfa.arizona.edu/ Location Main Campus Address Tucson, AZ USA Position Highlights The Special Events Coordinator (Conference and Events Planner I), at the direction of the Associate Director, Special Events, is responsible for providing broad administrative and logistical support for a wide range of student, faculty, external stakeholder events, and related events in support of the overall strategic vision of Arizona Arts. The position requires strong communications skills and interfacing professionally with internal and external event support units, making and documenting complex arrangements with event leaders and attendees, and being dynamically responsive to ensure event success and a positive attendee experience. Position requires a flexible work schedule, including some evenings and weekends, and use of a personal vehicle required for errands. This position will be performed in-person at the University of Arizona main campus.
