      Job Description

      Main Responsibilities:

      • Registering and verifying contractual partners (Suppliers and Clients), submitting the necessary diligence to obtain all required documents in accordance with the NVA internal procedure, sending them to MDM, and ensuring timely registration, archiving documents according to the retention procedure.
      • Updating data of existing partners in NVA.
      • Monitoring and updating the status of signed/unsigned contracts in the SHARP System database, preparing original contract copies for dispatch via Docusign and/or forwarding them to Reception for sending to suppliers/clients by mail/courier.
      • Tracking the receipt status from Suppliers/Clients/ADM Silos in the territory/Field traders of the original copies of contracts & related additional documents / scanning/saving them in the SHARP System / coordinating with field traders (providing necessary support) to obtain all original documents as quickly as possible.
      • Sorting, archiving, and retrieving contracts from the archive upon request.
      • Providing the financial department with requested copies in a timely manner and as often as needed, following requests from various Romanian authorities / tax authorities / internal audit / ANAF / Police, etc., preparing the handover OPIS, and subsequently returning and filing the contracts according to the usual procedure.
      • Updating the Port Situation with maritime vessels conducting operations with grains/oilseeds/feeds in Romanian ports.

      Skills:

      • PC Operation: Advanced level
      • Foreign Languages: Advanced English
      • Calculation and Analytical Skills: Advanced level in Microsoft Excel
      • Interpersonal and Communication Skills: Teamwork
