Job Description
- Req#: 12303
- Reception desk customer service, to include answering a multi-line phone, directing or assisting callers, assisting home office guests, and acting as a reliable resource for home office staff needs
- Maintains supplies for front desk, to include miscellaneous supplies needs not related to facilities or IT.
- Leads a welcoming and friendly culture at the front desk, greeting everyone
- Supports home office event planning team (Employee Relations 885); including ZHOT, Hi-5, Summer Shindig, Holiday Makers Market, and other non-HR related events or meetings.
- Miscellaneous home office assistance on an as-needed basis, to include printing, booking travel, assisting with national event preparations, special mailing requests, etc.
- Home Office communications for general information and updates
- Maintains conference room schedules
- Assists store employee callers with issues and emergency needs
- Assists Corporate Services Manager with various tasks or coverage on an as needed basis
- Maintains the front lobby and conference room cleanliness and weekly plant care
- Activates gift cards for donations and marketing events as requested
- Maintains the donations requests and budget each period
- Maintains and sends out congratulatory gifts for babies and weddings, and sympathy gifts for employees
- Supports Customer Care during peak seasons and as needed, with customer tickets and fulfilling sticker request mailings
- Coordinates with café to communicate café closures
- Schedule food truck vendors for office staff when appropriate
- Supports the Facilities Team with emergency drills and participates in CPR training
- 2 years experience in Administrative role
- Experience using Microsoft Office/Microsoft 365
- Experience with booking business travel
- Excellent customer service, oral and written communication skills
- Ability to maintain confidence and composure during challenging situations
- Proven record of strong attention to detail and accuracy. Ability to organize and prioritize multiple tasks; to work in a dynamic, fast paced environment
- Ability to interact effectively with different personality styles; must possess confidence in communication style
- Ability to maintain flexibility with scheduling needs
- Ability to sit at workstation in an office environment for extended periods of time and work on a PC without limitations
- Ability to move about, sit, bend, and squat in an office environment in order to keep the office organized, access equipment and supplies
