      About the Role

      The Deputy Project Manager has is a strategic position that is responsible for oversight of all aspects of administrative, technical, operational, contractual, and financial components of the program. In addition, this position is responsible for the company’s quality control plan and implementing established workflows, policies, procedures and protocols, and fiscal accountability for work performed on their office.

      What You’ll Do

      · Serves as Acting Project Manager in the Project Manager’s absence

      · Implements, monitors, and ensures the effectiveness of the company’s quality control plan and training programs. Escalates concerns and suggests improvement to the Project Manager

      · Assists with monitor the performance of on-site staff positions

      · Assists with schedule management on a weekly basis and ensures staffing is consistent, while maintaining enough flexibility to meet project demands. Ensures changes made to the schedule are communicated in a timely manner

      · Schedules employees in accordance with customer needs for the overall program

      · Identifies future staffing needs with input from the Project Manager

      · Identifies inappropriate employee behavior and or performance issues in collaboration with Project Manager and addresses through corrective and or disciplinary action.

      · Works with HR to document progressive discipline actions

      · Maintain a consistent level of communication with all employees, other departments, executive management, interacting with high level authorities between agencies

      · Ability to manage multiple projects simultaneously as well as providing required reports to Executive Management on a timely basis, while managing, verifying and updating information in the company database system

      · Provide SOPs recommendations to the Project Manager

      · Ensures that the program is in compliance with quality control standards, training and contractual requirements

      · Provides updates to employees as it pertains to any policy and procedure changes

      · Ensures compliance with the company’s policies and procedures and ensures changes are communicated to the team as necessary.

      · Reviews employee training status and certifications, if applicable, to stay current and meet all contractual requirements

      · Conducts orientation and on-the-job training for on-site staff supporting the emergency shelter program

      · Monitors effectiveness of IT systems and brings any changes to Project Manager

      · Assists with documenting best practices and go-by’s for their program

      What we’re looking for

      Key Skills:

      · Bachelor’s degree OR Four (4) years of related experience

      · Four (4) years of documented experience in a field related to social services, case management, or reunification

      · Experience supporting case management operations with the Office of Refugee and Resettlement

      · Demonstrate management and supervisory experience applicable to the goals and objectives of this requirement and appropriate for a similar program environment

      · Must be accessible by mobile phone 24/7/365

      · 5 years managing large operations with 50 to 70+ employees

      · The work schedule may fluctuate according to work demands to include evening and weekend work as well as periodic long and irregular working hours.

      · Travel is frequently required between offices within the service area; attend meetings and conferences as required to fulfil the obligations and responsibilities of the position

      · Available to work a flexible schedule, including nights and weekends

      · Availability to travel regularly within the United States

      · Have investigative and report writing experience

      The Work Environment A combination of travel and working from home office; based on project need and workload.

      Work Schedule - Due to the importance of this position, employees supporting this contract can be required to work extended hours to include evening work, on-call, and weekends to support time-sensitive or real-time complex services. This position is considered ESSENTIAL. This means the Project Manager will be required to work during emergency or crisis situations, including inclement weather, natural and man-made disasters, etc. Travel based on project need will be required.

      Physical Demands - To perform the essential functions of the job, qualified candidates must be able to perform the following: reaching, grasping, hearing/listening, seeing/observing, mobility to walk for extended periods of time, run, carry, load and unload luggage. Position does require the ability to read written documentation from a computer screen throughout the workday, stand or walk on various surfaces for long periods of time, and drive vehicles, (alert/vigilant of surroundings) for extended periods of time.
