Job Description

- Prepares, processes and tracks program data, documents, and applications
- Prepares documents and tracks purchasing process—requisitions, purchase orders, invoices, P-cards
- Provides administrative support to ECCOE Director and staff through scheduling, preparing documents, creating materials and other duties as assigned
- Answers telephone and greets visitors; provides information and assistance; takes messages; refers to appropriate personnel.
- Schedules trainings, meetings and coordinates ECCOE events
- Coordinates with SFCC operations for ECCOE events and trainings
- Coordinates travel for ECCOE staff
- Tracks budgets and purchasing
- Tracks grant and reporting deadlines
- Tracks ECCOE inventory
- Tracks data related to ECCOE programs in a database or workflow software
- Updates and maintains program information related to marketing, handbooks, presentations
- Performs related duties as assigned
- Ability to pass a background check.
- Ability to maintain confidentiality of records and data.
- Ability to multi-task and establish priorities across multiple programs
- Business level knowledge of Microsoft and job-related software programs.
- Ability to communicate with diverse students, employers, community members
- Ability to work with a variety of individuals representing different skills, attitudes, and disciplines among the college community.
- Ability to use excellent written and verbal communication skills in correspondence and creating reports.
- Ability to provide high quality customer services
- Skill in decision making and problem solving.
- Skill in data entry and maintenance of files, records, and data.
- Skill in compiling information and preparing reports
- Knowledge of planning and scheduling techniques
- Knowledge of college and department policies and procedures.
- The work is typically performed while sitting at a desk or table or while intermittently sitting, standing, walking, bending, crouching or stooping. The employee occasionally lifts light objects.
- The work is typically performed in an office.
- High School diploma or GED
- Minimum of two (2) years of related administrative work experience
- Associate Degree or higher
- Experience working in higher education or with community organizations
- Finance and purchasing experience
