    • Answer the phone and act as receptionist to students, staff, and visitors with a warm and friendly voice/face.

    • Answer doorbell with provided script to check all visitors prior to allowing them into the building.

    • Provide a Raptor badge to any and all visitors

    • Run background checks for all field trips

    • Assist with personal needs of children when required (first aid, administer authorized medicine, etc.)

    • Sort & distribute daily mail to staff

    • Fax documents as needed and distribute incoming faxes

    • Contact custodians and maintenance staff as needed for building related needs

    • Prepare announcements at arrival & dismissal

    • Prepare & deliver daily news via email

    • Prepare & process sign-in/out document for students & staff

    • Maintain copy machines

    • Maintain Permanent Records

    • Maintain registration documents

    • Assist in detention room monitoring and dismissal as needed

    • Fun Lunch Friday meal organization

    • Organize subs for teachers and IA’s daily. Communicate with staff at all times of the day/night regarding their need for a sub. Send a daily absence list out to all elementary staff. Maintain a spreadsheet of absences and submit to HR weekly.

    • Collect information for and create weekly newsletter through S’more

    • Maintain & post to elementary social media accounts

    • Maintain teacher supply cabinet in the office copy room

    • Order office and miscellaneous supplies for the elementary school

    • Process credit card payments using Square

    • Collect supply list information from each grade level & order necessary teacher/grade level supplies (not textbooks). Most supplies are ordered through Spendbridge, but others are found at a better price on Amazon and put into a shopping list and ask April or Kristi to order.

    • Send out the previous year’s student supply list to all grade levels in March. Update student supply list to be posted on the website and make copies and deliver to Walmart service desk.

    • Receive fee payments (monthly for EK and occasionally for Tech repair).

    • Collect information for and create weekly newsletter through S’more

    • Maintain & post to elementary social media accounts

    • Maintain teacher supply cabinet in the office copy room

    • Perform other duties assigned by the principal & assistant principal

    • Maintain compliance with all company policies and procedures

    • Upon completion of e-learning days, contact teachers for their attendance and manually enter them for the school

    • Upload all attendance letters or contracts and mail them out

    • Contact SRO about serving attendance documents

    • Print perfect attendance certificates.

    • Process new student registration forms

    • Requesting records from the previous school

    • Process out of district applications and contact with administrators decision

    • Create and maintain permanent record files

    • Withdraw students, send records to the new schools and place records in the inactive file

    • Maintain proof of residency in PowerSchool

    • Process all new and returning student registrations from PowerSchool Enrollment

    • Assign lunch numbers to new students through a Google sheet shared with the high school. Enter lunch numbers into PowerSchool.

    • Update the phone extension list for the building

    • Maintain a staff info sheet with birthdates, shirt sizes, etc.

    • Move student files and update as needed

    • Update inactive folder years

    • Update files to be moved to JR High

    • Troubleshooting minor maintenance issues of the copy machines throughout the building and calling in repairs as needed

    • Order and maintain all supplies for copiers

    • Monitor the fax machine function

    • Collect daily changes in student dismissal instructions and inform correct people

    • Be in contact with parents, teachers and bus drivers to make sure students are where they need to be for dismissal (this is sometimes quite involved when personnel are trying to locate a student’s whereabouts)

    • Scheduling families for round up appointments and answering questions regarding eligibility

    • Get all forms ready and organized for event

    • Contacting the newspapers and local advertisers to spread word about the event

    • Attending the event is important and keeping things organized to ensure everyone has the necessary documents

    • Assist with the organization of Early Kindergarten & Kindergarten round up each spring. Prepare an online registration form to be communicated to the public for scheduling of round up appointments.

    • Create, download and print them each 9 weeks

    • Review with each teacher for any needed corrections

    • Print final report cards for 6th grade files

    • High school diploma or GED required

    • Previous School Secretary experience preferred

    • Ability to interact positively with school and community

    • Ability to operate a computer and related software and possess strong typing skills

    • Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards.

    • Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards
