      Job Title: Executive Administrative Assistant


      Job Description

      We are seeking a highly organized Executive Administrative Assistant to provide comprehensive support in a fast-paced chemical lab environment. This role involves timekeeping for approximately 15 hourly employees, ordering lab supplies, low-level finance tracking, and general administrative duties. This is a temporary role covering for an employee on medical leave, with the potential to become a long-term opportunity.

      Responsibilities

      • Timekeeping for approximately 15 hourly employees, including base time and vacation tracking.
      • Ordering supplies for a chemical lab, including taking order requests, placing orders, and ensuring receipt of goods.
      • Tracking invoices against purchase orders and monthly actuals against forecasts, with support from finance to track down variances.
      • Providing general administrative support, including processing expense reports, arranging visitor travel, booking conference rooms, and ordering food.

      Essential Skills

      • Proficiency in calendar management and administrative support.
      • Experience with Microsoft Office suite, including Outlook.
      • Strong administrative assistance and executive support skills.
      • ERP experience, preferably with SAP for purchase orders.
      • Experience booking travel, including international travel.
      • Direct support for travel, expenses, and calendar management.
      • Timekeeping support for multiple employees.
      • Order and invoicing support, including accounts receivable and accounts payable.

      Additional Skills & Qualifications

      • Experience with Paylocity for payroll is preferred.

      Work Environment

      This role is based in-office and involves supporting the Chief Technology Officer and other members of the finance team. The position requires a professional and organized individual capable of handling various administrative and finance-related tasks in a dynamic work setting.

      Pay and Benefits

      The pay range for this position is $30.00 - $35.00/hr.
