- Arrange internal meetings, external engagements, conference calls, and conference rooms in collaboration with other executive administration support
- Inbox management and handling of correspondence
- Maintenance of accurate filing systems including Outlook, OneDrive, and SharePoint
- Coordination and prioritization of a heavy meeting schedule (~80-100 meetings and requests per month)
- Arranging domestic and international travel plans & itineraries
- Maintain a high level of awareness of matters coming into and out of the President’s/SVP’s office to effectively respond to inquiries and exercise sound judgement on the manner of response
- Draft and send corporate communications on behalf of executives & their teams
- Ownership to follow through on actions
- Process and manage Workday Approvals
- Process monthly expenses, approvals, and invoices; obtain receipts, if necessary
- Screen telephone calls and provide appropriate responses in the absence of the executives
- Heavy coordination on the planning and prioritization of actions for the President and SVP, in collaboration with other team members, to allow focus on big ticket items
- Creation/editing of presentation materials including decks, speaker notes and agendas; take minutes for meetings
- Manage technology matters on behalf of executive
- General ad hoc duties as required
- Experience in administrative roles, with demonstrated ability to work in a fast paced, fluid, and dynamic work environment
- Demonstrate suitable confidence, experience, and maturity to interface with senior executives and customers
- Minimum of 5 years supporting a senior executive
- Experience with project management
- Experience with budget management
- Experience planning and coordinating executive-level events, offsites, team meetings, or client engagements
- Strong interpersonal skills; excellent at and eager to collaborate with many different people and groups
- Ability to research and learn new skills independently
- Strong written and verbal communication skills
- Expertise in Microsoft Outlook
- Intermediate to advanced experience with MS Office: PowerPoint, Word, Excel
- Proficient with OneDrive and SharePoint
- Ability to multi-task and meet deadlines for multiple projects
- High level of commitment and results-driven
- Comfortable working across multiple time zones
- Highly organized and detail-oriented
- Ability to prioritize, work unsupervised and manage a varied workload
