      Position Summary

      The Executive Assistant is a highly trusted professional who supports the CPO with administrative tasks, manages communications, and organizes the CPO’s schedule to enhance their efficiency. This role requires discretion, excellent organizational skills, and the ability to manage complex tasks and communications effectively.

      Duties/Responsibilities

      • Provides high-level administrative support and assistance to the CPO in a business capacity.
      • Provide sophisticated calendar management. Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements while protecting time to work of the CPO.
      • Act as a liaison and provide support to the direct hires of CPO. Arrange and handle all logistics for one-on-one meetings, trainings, and live events: schedule; draft agendas; assist in developing/compiling and distribute presentation materials; and record meeting notes and assign tasks as needed.
      • Complete a broad variety of administrative tasks that facilitate the CPO’s ability to effectively lead the Product Division, including: assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense reports.
      • Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CPO, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect CPO’s style and organization policy.
      • Work closely with the CPO to keep them well informed of upcoming commitments, responsibilities, and travel, following up appropriately.
      • Assist in establishing and reviewing departmental budgets.
      • Review monthly, quarterly and annual contractual obligations with vendors, to include detailed invoice review and tracking.
      • Anticipate CPO’s needs in advance of meetings, conferences, etc.
      • Complete projects by collaborating with appropriate staff, including the Executive Team and other staff as appropriate.
      • Manage front desk/office administration once Missouri office established.
      • Assist in developing additional processes or checklists as assigned.
      • Other projects/duties as assigned for the overall benefit of the organization.

      Education and Experience

      • Significant executive support experience: 4+ years supporting C-level executive(s) required
      • Bachelor’s degree in business preferred (or relevant experience)
      • Expert proficiency with Microsoft 365, especially Word, PowerPoint, Excel, and Teams; ability to design and edit graphic presentations and materials in PowerPoint and Canva.
      • Technical proficiency and problem-solving skills related to computer and software support and troubleshooting; and web-based applications.
      • Exceptional verbal and written communication skills.
      • Exceptional organizational skills and attention to detail.
      • High degree of professionalism in dealing with diverse groups of people, including Board members, senior executives, staff, community leaders, clients, and partners.
      • Make appropriate, informed decisions regarding priorities and available time.
      • Ability to complete a high volume of tasks and projects with little or no guidance. Ability to anticipate needs and interpret needs with little information.
      • Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.

      Salary Range

      Executive Assistant hourly rate range $25.00 to $30.00 per hour

      Pay offered may vary depending on multiple individualized factors, including market location, job-related knowledge, skills, and experience. The total compensation package for this position may also include other elements dependent on the position offered.       Physical Requirements

      Prolonged periods of sitting at a desk and working on a computer.

      Must be able to lift 15 pounds at times.

      Work Environment

      This position operates in a professional office environment and role routinely uses standard office equipment such as computers, phones, mobile devices, photocopiers, filing cabinets and fax machines.

      Physical Demands

      While performing the functions of this job, the employee is regularly required to sit; frequently required to talk and hear, use hands and fingers to type, scroll and use computer equipment. The employee is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading; visual inspection of text/data in both print and electronic forms.

      Position Type and Expected Hours of Work

      This is a full-time non-exempt position. This position will start as remote and change into an expected full-time, five days a week once a Missouri office is created. Days and hours of work are generally during regular business hours M-F, however some evening and weekend work is required based on business needs at the time.

      Travel

      There is a moderate travel requirement for this position. Travel may be to visit remote office(s), attend conferences/industry events, etc. Attendance at our corporate Staff Retreat is required. This event is a 2-3-day retreat. Attendance at our LCPtracker Conferences as assigned.
