      Position Summary

      The Executive Assistant's primary role is to assist the Senior Vice President of Operations and the Operations Team by regularly exercising discretion and independent judgment to ensure compliance with existing state contracts.

      Essential Job Duties

      • Must be able to regularly exercise independent judgment in managing and leading projects in an organized and timely manner assigned by the Senior Vice President of Operations.
      • Works closely with Executive Directors and Operations staff, to ensure compliance and coordination of the Personal Growth Model, the Behavioral Modification Treatment Projects, Quality Assurance and other state compliance requirements.
      • Monitors projects' implementation and makes recommendation from compliance audits with respect to rules, policies, and procedures
      • Assists in the development and revision of Operations policies and procedures making recommendations based on knowledge of the projects and programs.
      • Provides excellent customer service to all AMIkids customers and stakeholders while maintaining appropriate level of confidentiality.
      • The Executive Assistant maintains an appropriate level of confidentiality and develops strong working relationships with members of the AMIkids Board of Trustees, state agencies personnel and juvenile justice consultants.
      • Maintain executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
      • Analyze progress of programs against plan standards and develop corrective action plans on various reports including statistical and incident reports, etc. with the operations team.
      • Compose and proofread correspondence and produce high quality materials such as presentations, spreadsheets and correspondence.
      • Organize and maintain files and records; secure information by completing database backups.
      • Coordinates meeting preparation including necessary information for review prior to the meeting, meeting agendas, and other pertinent information.
      • Prepares monthly reports.
      • Works in a multi-disciplinary team environment.
      • Ability to travel and work on some weekends.
      • Assist with special projects and other duties as assigned.


      Minimum Education, Training and Experience

      • Associates degree in business or secretarial science; bachelor's degree preferred OR ten (10) years of related experience
      • Five (5) years solid executive level administrative work history
      • Possess exceptional organizational skills and have a keen attention to detail,
      • Ability to operate in a fast-paced work environment which requires substantial multitasking,
      • Extremely proficient in Microsoft Office application (Word, Excel, PowerPoint and Outlook),
      • Ability to research issue and gather relevant information,
      • Ability to plan and organize work to ensure deadlines are met,
      • Requires the ability to maintain absolute discretion and confidentiality expected of a professional at this level.
