This is a full-time position located in Augusta and will serve as the Assistant to the Director. This opportunity allows partial telework with management approval.
Core Responsibilities:
The purpose of this position is to provide advanced administrative services work and support the Director of the Office of Behavioral Health in the coordination, implementation, and oversight of a statewide administrative program having broad scope and diverse functions.
Responsibilities require using independent judgment, initiative, and decision-making on complex administrative matters and require proficient knowledge of modern office practices and office equipment.
Representative tasks include:
• providing complete and comprehensive support directly to the OBH Director to include drafting agendas, attending meetings and taking notes, managing the Director's day-to-day scheduling, travel arrangements, and any other administrative support needed
o identifying and forwarding informational requests and other routine and reoccurring correspondence to OBH managers, to insure follow-up
o using judgement to triage matters requiring the Director's prompt attention
o receiving phone calls on behalf of the Director from the Governor's office, Commissioner's office, clients, legislators and staff and independently responding to callers when appropriate, involving the Director as necessary
• developing and recommending new work methods and administrative policies/procedures to improve existing work practices
• assisting with human resource activities, including but not limited to supporting in the recruitment, interview, selection, and onboarding of new hires across the organization and maintaining an up-to-date organizational chart
• implementing the policies and decisions of superiors
• all other duties as assigned
The position reports directly to the OBH Director.
Minimum Qualifications:
This position requires the use of independent judgment, discretion, initiative, and decision-making on complex administrative matters.
Qualifications include training, education, or experience in administrative support work that demonstrates 1) competency in applying a proficient knowledge of modern office practices to perform advanced administrative support tasks at the statewide level that are broad in scope or functionally diverse, and 2) the ability to use independent judgment, initiative, and decision making on complex administrative matters. Preference will be given to candidates with experience in executive support.
