      Position Overview

      The Jacksonville Correctional Center is looking to hire an Administrative Secretary to the Warden. The ideal candidate would have experience working in a correctional facility setting, be knowledgeable in office procedures and have immense ability keeping information confidential and private. This facility is a minimum secured facility designed to provide for the custody, care and safety of the adult males who have been placed under its jurisdiction. The Jacksonville Correctional Center is also the parent institution of the Pittsfield Work Camp and Greene County Work Camp.       Job Responsibilities

      1. As an administrative secretary, conducts special projects and studies by gathering data coordinating, monitoring and completing assigned projects.
      2. As an administrative secretary, composes replies to routine correspondence and request for materials.
      3. Serves as a liaison to the Central Office staff, Government officials, department heads, staff and the general public through oral and written communications.
      4. Serves on multiple internal committees such as: Employee of the Month, Employee Recognition Committee, and Health and Safety.
      5. Maintains confidential files of correspondence.
      6. Keyboards correspondence, memoranda and reports of a confidential and sensitive nature.
      7. Assists the Administrative Assistant.
      8. Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

      Minimum Qualifications

      1. Knowledge, skill and mental development equivalent to completion of two years secretarial or business college and three years of secretarial experience. OR
        Completion of high school and five years secretarial experience.
      2. Ability to keyboard accurately at 55 wpm.

      Preferred Qualifications

      1. At least one year of experience working in a correctional setting.
      2. At least two years' experience working with and maintaining confidential information.
      3. At least five years' experience utilizing Microsoft Office to include Word, Excel, and Outlook, or similar software products.
      4. At least five years' experience utilizing the principles of office management.
      5. At least five years' experience using manual and automated office equipment.
      6. At least five years' experience scheduling appointments and meetings in Outlook or similar software product.
      7. At least one year of experience establishing and developing written instructions and procedures.
      8. At least six months' experience with labor unions, employee grievances, or employee discipline.

      Conditions of Employment

      1. Ability to pass the IDOC/IDJJ background check.
      2. Requires ability to pass a drug screen. The use of unauthorized drugs by an employee, regardless of position held, is prohibited.
      3. Applicants are required to abide by all vaccine and/or other medical standards as set out by the employer.
