      Position - Facility Manager

      Location - Florham Park, NJ

      The Facility Manager is responsible for proactively developing and managing client relationships, ensuring service levels are met or exceeded. They will maintain a safe environment, oversee shipping/receiving activities, manage a team, and collaborate on budget planning. Additionally, they will manage contractors, security systems, waste management, and HVAC systems. Financial management, leadership, and staff supervision are also key aspects of the role. Requirements include a Bachelor's degree, 5+ years of facilities management experience, and strong client relationship management skills.

      Client Relationships

      • Proactively develop and manage client relationships, ensuring that expected service levels are achieved.
      • Comply with all requirements of the client contract and meet or exceed Key Performance Indicators.
      • Deliver an exceptional quality of service to the client, as reflected by client feedback.

      Service Delivery

      • Demonstrating an unwavering commitment to workplace health and safety, you will ensure a Safe Environment for all individuals on the site, while maintaining full compliance with all local, state, and federal EHS regulations. Collaborating with EHS site specialists, you will also prepare and maintain Environmental Health and Safety operating logs and other regulatory reports.
      • Utilizing your strong leadership skills, you will provide administrative support for the site and oversee all Shipping/Receiving Activities to ensure the safe shipment and receipt of goods in accordance with Client policies under SAP. Managing direct reports for these functions, you will also build and develop a high-performing team by providing coaching, performance feedback, and development plans.
      • Your responsibility includes managing the EHS Specialist, the Facility Engineer, the Shipping & Receiving Coordinator, and the Storeroom Clerk.
      • Working closely with the controlling group, you are responsible for developing the Site Operating Budget and managing annual spending within the established plan.
      • Leveraging your analytical skills, you will analyze spending variances, including utility bills, and communicate any deviations from the plan before spending occurs to ensure alignment and approval.
      • Drawing upon your education and/or previous experience in engineering (preferably Mechanical, Civil, or Electrical), as well as your expertise in Facility Engineering and/or Facility Management, you will contribute to the development of a site Master Plan to ensure sustainable operations and alignment with stakeholder growth-change plans. Furthermore, you will ensure adherence to Client Branding standards and image.
      • Foster collaboration across the organization by working closely with Facility Managers from other sites to share best practices and interface with Project Engineers for the seamless execution of site capital and expense projects.
      • Utilize your experience in managing contractors to ensure the safe and professional execution of work and cost-effective services. Additionally, you will negotiate, qualify, and award site facilities maintenance contracts.
      • Act as the Co-Information Protection Officer for the site, working effectively in a team environment.
      • Utilize your knowledge of Security Systems, such as access control and cameras, to manage site Security and ensure a secure site complex by overseeing security contractors and systems.
      • Oversee the contracted site staff, which includes 24/7 security personnel, custodial staff, and landscaping teams.
      • Serve as the coordinator for hazardous waste management, as well as non-hazardous and solid waste management.
      • Exhibit exceptional written and verbal communication skills as you act as a site representative and liaison for any governmental agencies or inspections, while maintaining License to Operate.
      • Leverage your expertise in HVAC systems, building automation systems, and other utilities, as well as your knowledge of safety systems such as safe work permitting and incident investigation to lead and manage Responsible Care site audits and associated reporting.
      • Identify opportunities to implement improved operational efficiencies (process and cost) and make recommendations to the Senior Facilities Manager for consideration.
      • Manage repairs and maintenance, minor works, other requests, work ticket tracking to completion.
      • Manage vendor training, performance, and billing, ensuring services are delivered in accordance with the contract and to agreed standards/scope of work. Document and escalate instances of poor performance.
      • If utilized, oversee all JLL Mobile Engineering Services maintenance to ensure successful and timely completion of all work. Confirm accurate T&M receipts and billing.
      • Be the key point of contact between client and landlord.
      • Act as the building’s key point of contact for notifications, escalations, and emergencies.
      • Available 24/7 for Emergency on site response.

      Finance Management / Cost Control / Profitability

      • Deliver management reports as requested.
      • Achieve or exceed financial targets and ensure effective, efficient, and economic operation of assigned responsibilities.
      • Ensure that operational expenditure for the site is managed within agreed budgets and identify efficiencies where possible.
      • Work with client and client’s Finance team to manage the budgeting, accrual and forecasting processes for the site under your management.
      • Prepare current financial year budget spend reports (actual vs. budget, variance etc.) as requested.
      • Manage payments to vendors where applicable, using available systems, complying with all relevant policies and procedures.
      • Help to develop and approve the annual capital plan for your sites, interfacing closely with the client representative.
      • Ensure compliance within delegated financial and contractual authorities.
      • Oversite and approval of OPEX purchase orders within the portfolio.

      Leadership/Staff Management

      • Lead, manage, develop and supervise a professional friendly, creative, energetic, and detail-oriented team in the delivery of service excellence.
      • Provide excellent on-boarding, training, and team building.
      • Actively support an environment of teamwork, cooperation, performance excellence and personal success.
      • Participate in the individual performance management program and personal development planning for members of the team.
      • Share innovations and best practices with the account portfolio
      • Act as an ambassador for JLL, adopting and maintaining the firm’s core values of Teamwork, Ethics and Excellence.

      • 5+ years of facilities management or operations experience.
      • Knowledge of building systems, HVAC, electrical, mechanical and services, required.
      • Superior client relationship management skills.
      • Strong leadership, supervisory and people management skills.
      • Ability to plan and manage financials within budget and time constraints.
      • Experience with managing multiple vendors and small capital projects.
      • Computer proficiency with MS Office and Computerized Maintenance Management System (CMMS).
      • Knowledge and experience with Leases

      Estimated total compensation ran for this position is:

      97,000.00 – 135,000.00 USD per year

      The pay range listed is a total compensation range including bonus, if applicable. The provided range is an estimate and not guaranteed. An employment offer is based on applicant’s education, experience, skills, abilities, geographic location, internal equity and alignment with market data.
