- Manage customer orders and inventory systems
- Answer phones and assist with customer needs
- Plan and organize meetings and events as necessary
- Accountable for all office functions by maintaining control of the ability to meet customer expectations
- Monitor Emails throughout the day for order status changes/additions, and other customer needs
- Faxing/emailing of Bill of Ladings to customers and designated parties (as required)
- Follow company/customer policies and procedures (i.e. internal controls, record retention, verifications, etc.)
- Book travels arrangements for management as needed
- Responsible for accounts payable and receivable efforts including month-end process
- Office inventory mgmt. & ordering of all office supplies (admin supplies, coffee, drinks, food, etc.)
- Coordinate office equipment maintenance and service with vendors
- Manage all contracts and lease databases and hardcopy files for the Houston Office, GSS, Marine, and Sulphur Trucking
- Running errands (off-site mailings, etc.)
- Assist other departments and operations with special projects and be able to follow through with assignments from start to completion
- Accounting experience is required
- Knowledge of principles and practices of organization, planning, records management, research, and general administration
- follow written and/or verbal instructions with minimal supervision
- Experience in logistics should be highlighted
- Proficient with PowerPoint, Excel, Word, and web-based data and reporting systems (Power BI)
- Familiarity with survey platforms, such as SurveyMonkey, would be a plus
- Build visual presentations (PowerPoint) and internal safety communications
- Compile, process, and do basic analysis of safety data
- Commitment to working safely at all times
- Must be physically able to do the following:
- Sit for long periods
- Work with telephones, computers, and other office equipment
- Consistently sit, reach, climb, stoop, kneel, and crouch
- Lift up to 25lbs without accommodations

As the Office Assistant, you are responsible for managing the day-to-day needs of the operation. This includes but is not limited to the processing of invoices, ordering office supplies, scheduling meetings/luncheons, greeting visitors, coordinating travel arrangements for senior leaders, running errands, setting up workstations for new hires, and general clerical duties as assigned.
