      The Health Information Specialist (HIS) maintains client files and is responsible for submitting the mental health billing for all clients within their assigned program, with a focus on the quality assurance of the program. The HIS compiles, updates, and organizes all documentation for the clients within their program in collaboration with clinicians, counselors, and program leaders to ensure program compliance and support payment processes.

      ABOUT THE CLINICS

      The three outpatient clinics provide services to youth, ages 0-20, and their families focused on strengthening self-regulation, communication and connection through various treatment modalities. Services provided in the clinic include individual, family and group therapy, case management services, medication management services, psychological testing, equine mental health therapy, Therapeutic Behavioral Services and rehabilitation services. Our team engages in a family-systems, strength-based and collaborative approach to treatment, supporting youth/families in addressing the concerns that matter to them most. Our team is provided with robust training and staff have expertise in working with those impacted by trauma, adoption, lack of permanency and high acuity behaviors.

      Responsibilities

      • Create and maintain client records for assigned program(s) according to the Health Insurance Portability and Accountability Act (HIPAA), Community Care Licensing (CCL), and Seneca regulations.
      • Monitor and track required county health plan documentation, ensuring accurate completion according to established programmatic, county, and state guidelines.
      • Communicate with treatment team regarding corrections or necessary changes on documentation. Input, complete, and review billing and payment invoices using internal and external Electronic Health Record (EHR) systems for assigned program(s) and submitting reports to the Accounting Department in a timely manner.
      • Ensure appropriate and timely distribution of Incident Reports.
      • Investigate and resolve billing inaccuracies and billing related issues.
        • Ensure timely submission of invoices for non-county health plan clients to appropriate department(s).
      • Process Record Requests in compliance with HIPAA rules and Seneca policies and procedures.
      • Prepare charts for audits and accreditation surveys.
      • Attend all meetings and trainings, as directed.

      Qualifications

      REQUIRED

      • Education/experience requirements:
        • Bachelor’s degree OR
        • Associate’s degree and 1 year of applicable work experience OR
        • High school diploma and 2 years of applicable work experience.
        • Applicable work experience includes any administrative position (paid or unpaid) requiring frequent data entry, ability to prioritize multiple projects within strict deadlines, and coordination with multiple departments.
      • At least 21 years of age.
      • TB test clearance, fingerprinting clearance, and any other state/federal licensing or certification requirements.
      • Valid driver's license, clean driving record, and insurability through Seneca Family of Agencies’ insurance policy.
      • Proof of up-to-date COVID-19 vaccination.

      SKILLS OF AN IDEAL CANDIDATE

      • Ability to compile and track documents according to strict guidelines and regulations.
      • Excellent organizational, problem solving, and time management skills.
      • Demonstrated proficiency in Microsoft Word, Outlook, and Excel.
      • Ability to collaborate with diverse co-workers, partners, and community members.

      Schedule

      • Full-time:
        • Monday-Friday : 8:30am-5:00pm.
        • Hybrid- sometimes in person, sometimes remote.
        • Travel to all Orange County sites as needed.

      Benefits

      • Starting at $23.34 - $25.84 per hour.
        • Additional compensation provided upon passing bilingual language proficiency exam.
