Job Description

- Facilitation of the recruitment and termination process of employees
- Submit online job postings, screening, shortlist candidates, and schedule job interviews
- Maintain records of all positions filled including candidates screened, interviewed and references obtained for relevant candidates
- Prepare employment contract for approval
- Send out new employee and HR Induction documents for all recruits
- Ensuring that all recruits are loaded onto all HR related systems
- Coordinate all business tool requirements with Business Support including setup of equipment as per new employee checklist
- Send out termination documents for all resigned employees
- Ensure terminated employees return all business tools as per termination checklist
- Remove terminated employees from all HR related systems
- Prepare input data and payroll file within agreed timeframes for submission to HRBP
- Ensure monthly earnings, deductions and company contributions are accurate and reconcile to supporting documents
- Maintain monthly payroll input data soft copies on access-controlled payroll server
- Upload salary payment file to SharePoint for approval
- Issue payslips to employees monthly
- Respond to employee inquiries, provide required information using available resources, follow up calls where necessary. Ensure smooth communication with employees and timely resolution to their queries
- Prepare all payroll related compliance submissions on behalf of the employees and the employer
- Active participation in the company’s BBBEE strategy (Meeting Governance for BBBEE)
- Plan, organise and coordinate requirements for BBBEE certificate renewal with appointed service provider to ensure that BBBEE certificate is renewed before expiration date
- Ensure effective administration of training programs for staff and suggest training initiatives in line with the company’s BBBEE strategy
- Custodian and advocate of the HR Policies by driving awareness around correct processes
- As a member of the Employment Equity Committee ensure Employment Equity compliance
- Advocate for the best practise for all HR related processes
- Ensure all statutory deadlines are met including but not limited to Employment Equity report, Skills Development (WSP/ATR) and Workman’s Compensation submissions
- Ensure that employees are updated on all HR initiatives and projects via the intranet, email and/or any other relevant platform
- Responsible for maintenance of personal files and records in hard and soft copy
- Staff communication e.g. Birthdays and other celebratory events
- Accurately process transactions and maintain the company’s HR Software to ensure effective management of employee data.
- Responsible for the running routine query and/or HR related ad hoc reports
- Prepare monthly staff headcount report and maintain company organogram
- Any other adhoc requirements from HRBP
- Bachelor’s Degree in HR or Related field
- 3+ years of Human Resources experience preferred
- Previous Payroll Processing and Compliance knowledge
- Proficient in Microsoft Office applications including Outlook, Word, Excel and PowerPoint.
- Demonstrate effective time management skills, administrative capabilities and effective written and oral communication capabilities
- Working knowledge of common human resources and payroll practices
