Until Filled - Serves as the primary recipient of organization-wide Personnel Action and position changes.
- Maintain databases and information systems to ensure accurate and up-to-date records.
- Ensures the timely implementation of database changes to ensure accurate payrolls.
- Regularly audit data quality and integrity, identifying and resolving any discrepancies or errors.
- Ensure compliance with data protection regulations and internal policies.
- Establishes, develops, and supervises the implementation of internal and external procedures for improving manual and automated processing of personnel reports.
- Works with HR staff to validate data entry actions and the accurate completion or routing of each based on HR processes.
- Acts as a resource and guide for administrators as it relates to HR data and positions.
- Maintains impeccable records of change request approvals.
- Ensures the highest level of accuracy for data entered into HR data systems to ensure successful data audits.
- Acts as the initial escalation point for data corrections that are required in the HRIS database; escalates further if necessary and executes approved corrections.
- Provides HRIS data support for Human Resources staff, all associate end-users, and members of senior management.
- Work collaboratively with IS staff to develop and implement data integration solutions and tools.
- Responsible for generating and executing and uploading various ISBE (Illinois State Board of Education) reports.
- Plans and implements recordkeeping processes for permanent personnel records.
- Prepares HR metrics to be presented at monthly, quarterly, and annual basis.
- Creates standard or ad-hoc reports out of HRIS and other HR data systems to ensure compliance with local, state, and federal reporting guidelines.
- Participate in the creation of new queries and reports as needed.
- Analyze HR data to identify trends, patterns, and insights.
- Initiates technology service requests to revise or develop existing or new HRIS modules for processing data, and reports.
- Assists with the support of all aspects of Human Resources as it relates to data requests, including but not limited to data availability, feasibility of requests, ad-hoc reports, and technical support.
- Adheres to organizational and department-specific safety, confidentiality, values, policies, and standards.
- Uses functional and technical knowledge to provide end-users with general guidance and informal training as needed.
- Provide training and support to HR Staff on HRIS systems and processes.
- Assists with developing internal training tools and process manuals for staff to maximize effective use of the HRIS system.
- Prepares and presents workshops to users to explain HRIS requirements and system procedures.
- Assist Human Resources support staff with various work projects as needed.
- Collaborate with HR team to support various HR initiatives.
- Provides back-up for other functional areas of the Human Resources Department, including recruitment, operations, benefits, etc., as needed.
- Stay updated on HR trends and best practices related to data management.
- Lead or participate in HRIS – related projects.
- Demonstrate proficiency in project management software to streamline data workflows and enhance team collaboration.
- Other duties as assigned.
- Bachelor’s degree in Computer Science or related field required.
- Equivalent knowledge gained through a combination of education and work experience preferred.
- 3-5 years of similar experience is preferred.
- Knowledge of Human Resources Information Services systems (Tyler Munis) and Skyward Qmlativ preferred.
- Knowledge of Absence Management System (preferred).
- Experience with Time Management systems (preferred).
- Excellent oral and written communication skills and superior interpersonal skills required.
- Ability to work well in a fast-paced professional environment and operate with a sense of urgency in accomplishing goals and objectives while maintaining a customer focus.
- Ability to complete job responsibilities with a minimum of supervision and to exercise a reasonable amount of independent judgment.
- Advanced knowledge of Microsoft Office suite and Google applications preferred.
- Ability to manage multiple concurrent projects, setting priorities to meet assigned timelines. Familiar with online student information systems (i.e. Infinite Campus) preferred.
- Ability to work on a computer/telephone over the major portion of the day.
- Ability to lift up to 25 pounds.
- Ability to work in a fast paced environment.

Function / Position Summary
The Human Resources Data Specialist is the primary point of contact for the Human Resources Information Services (HRIS) system. They are responsible for managing various data functions within the Human Resources Department, such as data entry, maintenance, auditing, and processing of sensitive HRIS data. Additionally, they play a pivotal role in leveraging technological advancements to streamline manual processes, maintaining the HRIS database, generating both ad-hoc and scheduled reports, conducting data audits, and providing support for process enhancement initiatives and special projects. This role involves supporting staff engaged in complex human resources tasks. The HR Data Specialist may occasionally work beyond standard office hours, including weekends, especially during peak staffing periods, to ensure timely project completion.
