- Provides HR application support to hospital employees and leaders (e.g., Performance Manager, Position Manager and HRP). Investigates and troubleshoots technology issues with IT partners and vendor as appropriate. Communicates findings with the customer and more broadly through internal communications channels as appropriate.
- Updates the organizational structure within HR applications as the organization grows and changes. Manages requests for the adding, removing and updating user access within HR applications.
- Partner with the application vendor to identify processes that will change as a results of system updates/changes or new systems implementations. Works with IT to ensure impacts of the change are planned and accounted for in advance of the implementation. Work with Internal Communications to distribute the message through the appropriate channels.
- Ensures that system changes are tested and that downstream data is feeding and updating appropriately (e.g., feeds to retirement vendor, voluntary benefits vendor and Visual Vault). Keeps a list of active interfaces for annual testing/validation to ensure we proactively identify issues. Perform periodic system audits to ensure HRIS data integrity.
- Prepare training materials in partnership with HR leadership to support new system implementations. For updates and changes to current systems, updates HRIS training materials and plans for training delivery. Update STARnet with HR knowledge articles and training materials as appropriate for further self-service. Manages HR Department pages within STARnet.
- Partners with HR and business leadership to develop reporting and analytics requirements. Completes an intake of customer requirements, reviews with HR leadership as appropriate, creates and plans for delivery. Ensures regulatory and legal compliance regarding reporting of data and provides the minimum necessary to achieve the intended purpose of a request.
- Collaborate with IT to setup and maintain scheduled reports at various frequencies. Ensure that new reports are added to the schedule and unused reports are removed from the schedule.
- Design, develop and maintain ad-hoc reports and dashboards based on stakeholder requirements (e.g., HR dashboard). Partner with HR leadership to identify, define and implement key analytics which support HR and business decision making.
- Maintain employee database including leading volume data changes (e.g. step increases, labor contract change and department changes). Complete intake of request, evaluate and assess request ensuring all necessary supporting documentation and information has been received. Attain necessary HR and organizational approvals, complete the request and communicate confirmation of the change as appropriate.
- A key contributor to the research, development and implementation of HR performance improvement initiatives including the development of communications channels and presentations (e.g., Increasing self-service options for employee requesting data changes).
- Leads compliance and regulatory reporting, audits, preparation and inquiries (e.g. EEO, TJC, CMS, CDPH).
- Manages electronic employee records and shared drive documents (e.g. Visual Vault and shared drives). Ensure effectiveness of system including managing ingestion methods, OCR, architecture, naming conventions, document information, archiving, and destruction. Partner with HR team members on best practices for ingestion.
- Assists in the cover/relief of other department staff as needed and assists with special projects as necessary. Demonstrates necessary flexibility in regard to changes in the Hospital or department activities.
- The position is expected to have a high level of political acumen and is expected to make decisions, handle complex problems, and provide support to clients including managing the same issue with both employees and management.
- Is able to work independently with a minimal amount of supervision.
- Performs other duties as assigned.
Position works under the supervision of the Manager, Human Resources. The HRIS, Reporting, and Compliance Specialist performs Human Resources related duties at the professional level with both breadth and depth across HR Information Systems, Compliance and Regulatory. The HRIS specialist is empowered to independently resolve a broad range of customer inquiries and requests.
Education: Work requires a minimum of a high school diploma or GED. Bachelor’s degree in business or Human Resources related field strongly preferred.
Licensure: HRCI or SHRM HR certification is preferred.
Experience: A minimum of three (3) years of progressively responsible and directly related work experience preferably in HR information system management, reporting and data analytics. Knowledge of fundamental principles and practices of Human Resources Administration preferred.
The hourly rate for this position is $44.58 - $55.72 The range displayed on this job posting reflects the target for new hire salaries for this position
