      Overview

      We are seeking a highly organized and detail-oriented Temporary Legal Assistant to provide administrative and clerical support to our legal team. The ideal candidate will have excellent communication skills, strong organizational skills, and exceptional attention to detail. This role involves managing confidential legal documentation, assisting with research and ensuring the efficient operation of the legal department.

      Responsibilities

      • Prepare, proofread, and format legal documents, correspondence and reports.• Update, organize and maintain company documents, reports, case files and trackers, ensuring accurate and timely filing of documents.• Conduct legal research and gather relevant information for cases.• Monitor deadlines and assist in preparing materials for court hearings, administrative proceedings, responses to internal or external customers, or submission to other third parties. • Prepare responsive documents for annual corporate filings, obtain certificates of good standing and such other corporate documents as required. • Compare documents for version control to ensure accuracy and integrity of documents prior to routing final copies for attorney review and/or execution.• Communicate with internal and external customers, attorneys, agencies and court officials as requested. • Participate in meetings, on camera, as requested.• Manage and maintain daily schedules, department calendars, meeting invitations including set-up/use of Webex, appointments, travel arrangements and handle submission of reimbursement requests.• Prepare presentations and reports for internal and external presentations as needed.• Handle administrative duties such as answering phone calls, managing emails, and processing invoices. • Process service of process of subpoenas and other legal documents.• Manage intake of legal requests and triage to appropriate attorney for handling, track status and prepare periodic reports on open and closed matters.• Process contracts, agreements and other legal documents for full execution, ensuring fully executed copies are timely filed and provided to necessary parties. • Maintain, update and draft SOPs, DLPs, checklists, and templates.• Create and edit PowerPoint presentations including org charts, graphs and spreadsheets.• Perform other administrative duties as required to support the legal team.

      Qualifications

      • Associates degree or Bachelor's degree; certification in legal studies is a plus.• Proven experience as a legal assistant or in an administrative role, within a legal firm or corporate law department.• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and LexisNexis, Pacer and other legal databases and research tools.• Strong knowledge of legal terminology, documentation, and procedures.• Detail oriented, responsive, highly organized and demonstrate independent thought, good judgment, and critical thinking.• Excellent written and verbal communication skills.• High level of discretion and ability to maintain confidentiality in handling sensitive information.• Ability to work independently and collaboratively in a fast-paced environment.
