Multnomah County Library is currently hiring a limited duration Library Events Planner! This position provides project management and administrative assistance to the Library Events and Reader Services (LERS) team, with a special focus on library opening day events.This is a limited duration position slated to last for two years. It cannot be extended beyond two years, but it could possibly end early if business needs dictate. Limited duration employees enjoy the same benefits and time off plans as regular status employees.
In this role, you will serve as the primary event planner for public relations events and community celebrations for opening day events related to library building projects. You will lead logistical efforts to plan the scheduling, set up, monitoring, and evaluation of in-person and online engagement events with staff, partners, and the general public as well as county-elected commissioners and staff. You will coordinate communication and event details by interacting with other county departments as well as outside agencies and/or organizations. In addition, you will co-host in-person and online events and serve as the day-of point of contact and coordinator for public relations events and community celebrations.
You will promote and publicize programs and events which includes writing effective and compelling program descriptions. You will collaborate with Marketing and Communications to communicate information about programs to community members who could potentially attend or benefit from the program, using a variety of marketing and communication channels that are culturally responsive and appropriate. Promotion of events will require close coordination with internal stakeholders, including Marketing and Communication, the Library’s Directors Office, the Library Capital Bond Program Management Office, Library Community Services and Location Services teams and management.
In addition, you will manage a finite events budget for each project and work to maximize impact of funds across the life of each project through research and development of creative solutions. This will include collaboration with your colleagues in LERS, the Library Capital Bond Program Office, Marketing and Communication as well as other library workgroups. You will determine and order supplies, prepare handouts, organize sessions, and other related event tasks, coordinate logistical information and materials for event speakers and guests.
You will also provide project management, assistance, training and support for staff related to library events. You will develop, maintain, update, and operate electronic automation systems (i.e., Smartsheet and Communico) as well as assist in the development, design, and maintenance of the LERS intranet page, Communico, and other events management software. You will collect, track, and evaluate data and statistics for opening day and other library events; generate and produce a variety of reports, summaries, metrics, plans, and related documents for library events.
