      Description

      Job Title: MV Agusta Sales Operations Admin

      Department: Sales

      Reports To: General Manager

      FLSA Status: Non-Exempt

      Location: Remote (Southern California preferred)

      SUMMARY

      The Sales Operations Admin responsibilities will include ensuring quality and timely communication between all relevant field sales and dealer partners, supporting the back end, as well managing multiple tasks and projects including orders, reports and trackers.

      ESSENTIAL DUTIES AND RESPONSIBILITIES
      • Provides general support to field sales team through administration of the Company's order management system including order entry/creation, credit approval status, order/shipment tracking:
      • Creates sales orders for booking order fulfillment monthly/as needed
      • Generating orders within department deadlines
      • Following any programs back end, and issuing rebates and credits.
      • Administers creation of sales orders from new order requests
      • Administers credit approval process for non-WF dealers
      • Submits credit approved orders to shipping company
      • Daily administration of unit invoicing process
      • Processes credits/rebills as needed
      • Perform credit held movements and unit allocation transfers
      • Facilitate new dealer setups, buy sells and termination process
      • Monitors and responds to field sales team inquiries in a timely and efficient manner utilizing both phone and email communication channels as appropriate.
      • Establishes and maintains good working relationships with field sales team. Provides excellent customer service to enable field sales team to, in turn, provide excellent customer service to our dealers.
      • Monitors/resolves shipment-Invoicing misalignments as needed through regular review of reconciliation tracker.
      • Assist with the resolution of shipping mis deliveries or damages by working with logistics or internal staff
      • Maintains sales administration server files by managing folders, draft copy eliminations, etc.
      • Communication of container/VIN receipt issues to management for follow-up/resolution.
      • Assists in order generation process
      • Assists in sales bulletin, price lists, and dealer letter creation, publication to Dealer Portal and internal distribution, as needed.
      • Coordination of all dealer demo promotion (credits/trackers/Wells Fargo demo status) programs, as needed.
      • Process manual shipment requests
      • Maintain sales program tracking and order entry.
      • Maintain process and procedure manual of all sales admin processes
      • Performs various administrative tasks in support of the sales management, administration and planning teams.
      • Performs other duties as assigned.


      Requirements

      EXPERIENCE REQUIREMENTS: Generally requires a minimum of three (3) to five (5) years of experience in an office and/or sales role preferred in Automotive or Motorcycle Related Industry. Required proficiency in Microsoft Office Suite; High proficiency in Microsoft Word and Microsoft Excel. SAP experience recommended.

      EDUCATION REQUIREMENTS: High school diploma required. Bachelor's Degree in related field preferred, particularly in English, Marketing, Business, or Accounting.

      SUPERVISORY RESPONSIBILITIES: None

      CONTACTS:

      Internal: Sales Managers, sales management team, other internal departments as needed.

      External: Dealers, Outside vendors (freight, finance etc.)

      JUDGEMENT/REASONING ABILITY: Ability to recognize discrepancies and resolve problems quickly using sound judgment, poise and diplomacy. Requires ability to use judgment and reasoning skills and determine when issues need to be escalated.

      WORK ENVIRONMENT: The noise in the work environment is usually moderate. Other factors are:
      • Ability to travel if needed. Travel is minimal in this position.
