Job summary
We currently have an opening for a non-clinical supervisor position to support our busy reception and administration departments. The position will be full-time working 37 hours over 5 days. You will need to have experience of working in a fast paced environment at a supervisory level. You may also be required, at times, to provide cover for sickness and holidays at short notice.
Main duties of the job
We are looking for an intelligent, self-motivated person with a sunny disposition to join our busy well-organised team. Previous experience of working in a general practice setting is preferred but not essential. The successful candidate will have supervised staff in the past, being able to manage rotas and oversee the day-to-day running of the reception and administration departments.A knowledge of EMIS Web will be a great advantage.
The applicant must be computer literate, possess excellent communication, verbal and written skills, attention to detail and confidentiality are essential at all times. The successful applicant would be based in reception dealing with patients and their queries, answering the telephone, inputting data, and other general reception duties.
The position can be very demanding and fast paced at times so an ability to adapt and learn new skills quickly and easily and to prioritise workload are essential. Common sense and a good sense of humour are essential. You will be required to attend training courses and practice meetings.

Cover reception and admin rota as and when needed due to annual leave and/or sickness.
In times of clinicians sickness ensure clinics are rearranged as a matter of urgency.
Provide full training for new staff and provide ongoing support for current staff, highlighting any training needs
Be first point of call for patients wishing to complain at front desk.
Complete the appraisals and audits for reception and admin departments.
Monitor surgery email inbox daily.
Monitor the tasks for reception and admin, ensuring they are completed in a timely manner.
Private work (Job share with a member of the admin team).
Rotas for the reception and admin team: 4 weeks rotas done at a time.
Stock ordering for clinical and non-clinical items. Sourcing the best prices where possible.
Arrange meetings book rooms, take and distribute minutes for Admin, Reception bi-monthly meetings and Gold Standard Framework meetings.
