Will serve as Office Greeter – the first impression for all brands to our guests. Heavy focus on world-class customer service, ensuring every guest is greeted quickly and with a smile
Organization and arrangement of mail deliveries, to facilitate speedy retrieval of mail, and coordinate schedules with external mail vendors to maximize efficiency in mail delivery and pick up
Manage office operations and deliveries such as office material, food, drinks , etc .
Coordinate with IT department on all office equipment
Organize the office storage and maintain inventory lists for office supplies.
Manage office-related invoices and make sure payments are made on time in coordination with Accounting
Responsible for the condition of our office space; arrange repairs as necessary .
Manage contract and price negotiations with office vendors, service providers , and office lease
Liaise with facility management vendors, including cleaning, catering , and building concierge
Address employee’s queries regarding office management issues ( e.g. office supplies , hardware , travel arrangements , meeting organization, events, etc ).
Coordinate the onboarding process for new hires with Talent Acquisition and HR Business Partners
Partner with the HR Business Partners to update and maintain office policies as necessary
Corporate travel: keep track of pertinent travel and maintain and enhance company travel policy and assist in travel arrangements as necessary, in coordination with Office Management and Colleagues across the globe.
Prepare regular and ad hoc reports extracting data from HR Information Systems
Plan in-house or off-site activities, like team-lunches, parties, birthdays, celebrations and conferences
Other related tasks as per business needs
PRL management – Risk Prevention for the Office and connected activities
Fun Force management
Minimum 2+ years in office manage ment
Ability to work independently as well as a part of a cohesive team; willing to go above and beyond – always looking to improve process, efficiency and support to business
Impeccable business acumen – able to interface at ease with executive team diplomatically
Excellent attention to detail proven by exceptional references and previous accomplishments
Excellent Written and Verbal Communication proven through written and verbal communications
Technical abilities: MS Office Suite – Outlook, Word, Excel, and PowerPoint
Ability to thrive in a fast-paced, ever changing, customer-centric environment
Avid problem solver – able to create win-win situations using limited resources
Fluen cy in English and Spanish is required ; German a plus

With offices in Berlin, London, Barcelona and headquarters in Los Angeles, we're currently looking for a full-time based Office Manager in our Barcelona office. Please note that this role is fully onsite.

You oversee our Front Desk, Mail and Office Support operations. In addition, you will support the HR department with projects and operative tasks .
