      As the Office Manager, you’ll oversees all aspects of the clinic operations by ensuring patient, staff and provider satisfaction 24/7 while maintaining all Avance Care quality standards. In addition to supervisory responsibilities of being accountable for all patient coordinators, medical assistants, the clinic and, assists and collaborates with providers.

      • This is a full-time role working 40 hours a week and may help with coverages during the weekdays and weekends as needed.

      Selected Responsibilities:

      • Supervises all staff daily to ensure proper procedure are followed
      • Recruits, interviews, trains, counsels, coaches, disciplines, and terminates employees, as necessary
      • Creates schedules and rotations for staff
      • Coordinate coverage for all employees during callouts and emergency situations
      • Oversees vacation requests and ensures continuous shift coverage
      • Review and authorize payroll to ensure accuracy and timely processing for staff
      • Conducts annual reviews and monthly check-ins with staff
      • Conducts staff meetings to share information and communicate on company issues
      • Advises practice owner on all non-routine matters relating to the operations and affairs of areas responsible, especially maters of significant progress, problems, and potential problems
      • Addresses patient complaints in a timely manner with tact and compassion and alerting other parties when necessary
      • Addresses employee complaints in a timely manner and alerting other parties when necessary
      • Ensures HIPAA and OSHA compliance:
      • Interacts with vendors, suppliers, and other related entities as needed
      • Orders and maintains medical/office/vaccine supply inventory
      • Maintains practice locations – break/fix, equipment maintenance, preventative maintenance contracts, etc.
      • Performs weekly deposits into bank account
      • Ensures front-end collections (deductibles, patient balances, co-pays, and co-insurance) are being collected

      Candidates should have at minimum an associate’s degree with 3-5 years of relevant experience required. A Bachelors, or Masters Degree in Health or Business Administration, Healthcare Management, or related degree highly preferred. Having one of the following: Certified Nursing Assistant (CNA), Emergency Medical Technician (EMT), Licensed Practical Nurse (LPN), Graduate of Medical Assisting Program (MA), or Certified Medical Assistant (CMA) a plus.

      • Ability to communicate, read, and interpret common medical terminology in English and Spanish by being bilingual is a plus.
