      WHAT WE CAN ACHIEVE TOGETHER

      The office manager will be responsible for a variety of operational and administrative functions to support multiple programs and ensure a welcoming, safe and well-organized office experience for staff and visitors using The Nature Conservancy's (TNC) Portland office located in SE Portland. This role is fulltime and required to be on-site at least 4 days/week and will manage the facility needs of the TNC Portland office, also known as the Oregon Conservation Center (OCC).

      The office manager is the primary person responsible for office and reception services, including serving as the primary point of contact with the property managers, working with vendors, completing daily assessments, responding to facility needs, collaborating with IT staff, managing building safety and security. Specifically, the office manager will partner with vendors to manage office security systems, thermostat/HVAC, elevator operations, waste removal and various building facility services including timely repairs, tracking and communication of resolutions. The office manager will be a member of the Safety Committee and responsible for quarterly safety audits of the OCC in compliance with OSHA and TNC practices. They may create or apply established processes and practices to improve effectiveness, to support health and safety and to document program procedures for reference by staff. The office manager will be responsible for scheduling and coordinating logistics for special events and/or meetings including catering, purchasing, mail management, and telecommunications. The office manager will coordinate the use of The Nature Conservancy meeting and workspace facilities with external partners, assist with the recruitment and training of program volunteers (particularly volunteer receptionists and volunteer landscapers), and will supervise the activities of volunteers resulting in creating supportive meaningful volunteer work situations.

      In addition, the office manager will perform administrative tasks for the External Affairs team, including event support, travel support, supply ordering, processing forms, and preparing reports. Financial responsibility may include purchasing, processing invoices, contracting with vendors, and budget tracking. The office manager will assist with schedules, tracking relationships, and coordinate compliance with lobbying requirements for the Government Relations team.

      The office manager will prioritize work independently and coordinate complex activities by setting realistic deadlines and managing vendors and partners to meet the timeline. They will use available systems and resources to maintain, track, and research data, and to produce and review reports. They will demonstrate sensitivity in handling confidential information. Additionally, they may handle inquiries about Oregon Chapter activities and assist in the development of program materials and correspondence. The office manager will work cooperatively with The Nature Conservancy staff, providing information necessary to make decisions and solve problems. The office manager may communicate on behalf of their supervisor with internal and external sources, including staff, donors, vendors, and businesses in order to coordinate arrangements, convey information, and ensure successful execution of program and may support Board of Trustee committees with meeting administration. They will collaborate with staff and partners to create an inclusive workplace and will serve as the public face of TNC.

      This position has frequent engagement with a diverse range of staff, donors, trustees, volunteers, vendors and the public. A successful office manager will be able to effectively communicate and assist in coordinating arrangements, making decisions and solving problems.

      This position may include 5% travel, paid overtime, and occasional evening and weekend work to support team events and/or handle building emergencies.

      WHAT YOU'LL BRING
      • Bachelor's degree and 1-year experience or equivalent combination.
      • Experience in business writing, editing, and proofreading.
      • Experience organizing time and managing diverse activities to meet deadlines.
      • Experience performing one or more administrative processes.
      • Experience working and communicating with a wide range of people.

      DESIRED QUALIFICATIONS

      • Multi-lingual skills and multi-cultural or cross-cultural experiences are appreciated.
      • Facilities management experience.
      • Ability to apply research and analytical skills.
      • Excellent customer service skills and focus.

      SALARY INFORMATION

      The starting pay range for a candidate selected for this position is generally within the range of $26.96 - $29.38/ hr. for annual base salary. This range only applies to candidates whose country of employment is the USA. Where a successful candidate's actual pay will fall within this range will be based on a variety of factors, including, for example, the candidate's location, qualifications, specific skills, and experience. Please note countries outside the USA would have a different pay range in the local currency based on the local labor market, and not tied to USA pay or ranges. Your geographic location will be confirmed during the recruitment.
