      Description

      Overview

      The Pastoral Care Associate is responsible for the overall responsiveness and care for the requested needs requiring the attention of our pastoral care department. This role operates as the primary contact for incoming requests and manages the overall process of care an individual or family receives from Milestone Churchs pastoral care department from Volunteer coaches, Staff Pastors, recommended next steps, and external counselors.

      Core Duties & Responsibilities

      • Responsible for handling pastoral care requests and providing the initial evaluation of need.

      • Schedules, coordinates, and directs all pastoral care/ need requests for (Biblical coaching, counseling, wedding requests, funerals, hospital visits, traditional pastoral care needs, etc)

      • Coordinates, assigns, and follows up (as needed) on submitted prayer requests.

      • Staff representative for individuals and families in crisis to provide first response.

      • Responsible for tracking and managing every pastoral care case and their current status related to follow-up, open and/ or closed cases.

      • Reports and Summarizes pastoral care coaching, counseling, and requests on a weekly, monthly, quarterly basis necessary to build future plans.

      • Works in cooperation and coordination with Pastoral Care Coordinator

      • Responsible for achieving next steps placement goals as defined by department head.

      • Assist in the Learning culture of Milestone related to pastoral care needs, patterns, and early indicators to forecast and prepare for future needs.

      • Scheduling all Elevate, Annex services, events, and department or volunteer facility use in ServiceU.

      • BaseCamp: Project Management entry and oversight.

      I. Pastoral leadership support to the Pastoral Care Pastors and Team utilizing:

      1. First Impression Ministry

      2. Monitoring

      3. Onboarding

      4. Coordination Administration

      5. Teamwork

      II. Direct involvement and leadership in the following Pastoral Care areas:

      1. 1:1 Biblical Coaching (under the leadership of the Associate Pastor of Pastoral Care.)

      2. Congregation Prayer Request Team

      3. Weddings and Funerals

      4. Grief Share

      5. Life Events

      6. Pastor-On-Call Process

      First Response Ministry

      Represent Milestone Church as a first impression to those that need pastoral care. This will carry out in the following areas:

      1. Campus phone calls into the Pastoral Care office.

      2. Pastor on Call primary leader:

      • Taking all POC phone calls; Coordinating the best next step.

      1. 1:1 Biblical Coaching scheduling and follow-up phone calls.

      2. Wedding/Funeral intakes and events.

      3. Grief Share registrations.

      4. Online prayer requests.

      Monitoring

      Providing rapid and efficient communication and follow-up with:

      1. Congregation Prayer Request team emails sent each Monday.

      2. Ongoing Project Broadcast communication with those needing pastoral care.

      3. Closer book mailings for new Christians.

      Onboarding

      Providing thorough instruction to those joining:

      1. Congregation Prayer Request team.

      2. Wedding and Funeral team.

      3. Grief Share team.

      Coordination Administration

      Working with other Pastoral Care pastors, team, and leaders to provide outstanding outcomes with:

      1. Easter and Christmas events (Bible giveaways).

      2. Monthly expense reports.

      Intake

      Serve as first impression/responder by promptly responding to requests via phone/email/website/communication cards and efficiently coordinating with appropriate department contacts and/ or Pastoral Care ministry leaders/teams; ensure all requests are responded to with excellence and in a timely manner.

      1. 1:1 Biblical Coaching process.

      2. Connection Cards: Concierge connection cards appropriately to ideal next step environment for optimal results.

      3. Prayer: Connect newly vetted prayer team members to Captains; update team rosters in church management database and scheduling programs.

      Follow-Up

      Excellence in the area of follow-up is critical for communicating effectively and to make sure hand-offs have taken place. Outstanding follow-up practices include:

      1. Prompt communication of next steps with appropriate recording in church management software programs.

      2. Creating and utilizing templates that can be reproduced for recurring events (1:1 biblical coaching follow-up, L.P.C. referrals, etc.)

      3. Follow the 24-hour, 10-day, 45-day principle of follow-up.

      Teamwork

      1. Attending Pastoral Care team meetings and executing communication and tasks from that meeting;

      2. Attending one weekend service for personal renewal and connections.

      3. Attending other team meetings as requested and needed.

      4. Committing to uphold the unity of the church, staff and team by speaking for each other and never against; practicing Matthew 18:1519 whenever conflict or disagreements arise.

      5. Celebrating personal victories with humility and admitting when mistakes have been made and vowing to learn how to improve.

      Qualifications


      • Proven discipleship and ministry experience.

      • Ability to identify root concerns and issues presented.

      • Administrative skills.

      • Pass a comprehensive background check.

      • Possess solid biblical convictions aligned with Milestone leadership.

      • Willingness to grow and adapt to changes in a growing local church.

      • Reliable and dependable.

      • Ability to handle changes, delays and unexpected events.

      • Ability to communicate effectively and promptly via email, in person, and one-on-one.

      • Ability to resolve conflicts effectively and to show growth in the area of problem solving.

      • Proficiency in Microsoft Word, Excel, F1, Planning Center and Service U software.

      • Work independently.

      • Strong time-management skills.

      The physical demands may include: sitting, walking, bending, stooping, twisting, and lifting up to 20 pounds as needed to fulfil job duties and requirements.
