      Job summary

      We are looking to appoint 2 enthusiastic part-time Receptionists/Administrators to join our busy GP Practice. The successful candidates must be customer focused, reliable and punctual, possess excellent written and verbal communication and be able to use their own initiative. They must be a team player and willing to support colleagues and take on extra duties to assist during busy and high pressurised times. IT skills are essential. In addition to the agreed hours you must also be available to work additional/flexible hours to cover staff leave and sickness when required.

      Main duties of the job

      Core responsibilities of the Patient Services Assistant include welcoming patients and visitors to the Practice, answering phone calls and dealing with all requests appropriately, signposting patients to the appropriate services and recording this information within the clinical system. Handling queries and requests from patients, families, carers and other health care professionals. Inputting information accurately into medial records. Processing patient registrations and deductions. Managing post, emails and other correspondence. Processing prescription requests and completing medical reports or copies of medical records.Team work and supporting colleagues. As well as any other duties in line with the needs of the buisness.

      About us

      Gnosall Surgery is located in the village of Gnosall and provides care to over 8000 patients. Our site is shared with a Pharmacy and Dentist and also offers a wide range of services including: physiotherapists, mental health workers, social prescribers, health visitors, midwives and a memory clinic.

      Our Practice is ran by 3 Partner GP's, Dr Cooner, Dr Bermingham & Dr Heatherley.

      We have other clinical staff including a salaried GP and 2 urgent care practitioners.

      We are also a training practice and as such we provide a variety of training to people in the medical profession including medical students and doctors in early and later years of their training.

      The surgery has been rated 'Good' by CQC (the Care Quality Commission) indicating the firm foundations of the Practices exceptional organisation and efficiency.

      Job description

      Job responsibilities

      The following are the core responsibilities of Patient Services Team members. There may be, on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:

      a. Welcome patients and visitors to the organisation, directing requests appropriately

      b. Answer incoming phone calls, transferring calls or dealing with the callers request appropriately

      c. Signpost patients to the correct service and record this information on to EMIS in line with standard operating procedures

      d. Book appointments at point of contact for but not limited to all clinical staff including, Doctors, Nurses, Chronic disease reviews, Memory Clinic, Minor Surgery, Physiotherapy, Mental Health services, Social Prescribers, Pharmacists, INR clinics, Baby Clinics, Covid & Flu Clinics, and any other affiliated service provider in line with Standard Operating Procedures

      e. Initiating contact with and responding to, requests from patients, team members and external agencies

      f. Photocopy documentation as required

      g. Input data into patients healthcare records as necessary

      h. Manage all queries as necessary in an efficient manner including online requests via E-consult

      i. Process changes to patient registration, deduction of record and new patient registration including organisation of digitisation process and summarising

      j. Support all clinical staff with general administrative tasks as requested

      k. Complete opening and closing procedures in accordance with the duty rota

      l. Support colleagues and the business, providing cover during staff absences to ensure safe staffing levels

      m. Monitor and maintain the reception area and notice boards

      n. Deal with emails and EMIS / DOCMAN tasks on a daily basis

      o. Clinically code data on EMIS and DOCMAN including but not limited to cytology coding, vaccinations etc.

      p. Filing of administrative documents to patient records through Docman

      q. Maintain a clean, tidy, effective working area at all times

      r. Distribution of blood results

      s. Support all clinical staff with general administrative tasks as requested

      t. Undertake chaperone training and provide support to clinicians as requested

      u. Keep up to date records of patient contact details, next of kin, emergency contacts, family with access to medical records

      v. Dealing with incoming and outgoing post as required

      w. Follow the standard operating procedure for deceased patients, notifying all relevant agencies and keeping up to date records of births and deaths

      x. Be responsible for recording feedback, both positive or negative and ensuring that this information is made available to the management team

      y. Medicines management: make sure that requests for prescriptions are dealt with in line with the standard operating procedure, that requests are collected from post boxes and processed

      z. Any other administrative duties in line with the needs of the business
