Your Impact The
Permit Assistant is a key team member that performs duties such as maintaining files, record keeping, monitoring schedules, verifying reports, and data processing. This position will also assist the Permit Manager in administrative duties needed for the success of the region and jumping in to help Permit Coordinators with jurisdictional follow-ups.
Core Responsibilities - Complete mail-in order permits
- Work with internal, global, and jurisdictional teams for permit follow ups.
- Maintain data accuracy within permitting for the region
- Work with the internal permitting and project teams to fulfill needed permit admin duties required
- Coordinate work with a team of engineers is ISP/CWIP central office and access jobs to review projects for completion, corrections, and preparation for Teco and closure.
- May facilitate conference calls or messaging with stakeholders for status on ongoing projects.
- Maintain tracker of open projects with status data and other pertinent data.
- Coordinate CDFS/FT3 construction projects. Review projects for OSP/ISP completion and Test and Turn-up. Assure that construction Final Cups have been reviewed and accepted by customers before submitting for Teco/Verify Actuals/Closure team.
- Make current updates to Salesforce (Sitetracker) and WFMT as appropriate.
- Coordinate with Engineers to ensure project structure is accurate and funding levels have been approved.
- May make AANP submissions to process accounting corrections or to process zero closure of cancelled projects.
- Work with databases and systems: NDS, Fireworks, BidMaster, AANP, Cosmo, JDS, Microsoft Office Apps, NBIE, FORTE, FACS, WFMT, Salesforce, Armor.
- Demonstrates accuracy and thoroughness, looks for ways to improve and promote quality, and monitors own work to ensure quality
- Meets permitting admin KPI standards
- Monitor Permitting KPIs for the project team to know where to aid the team
Core Experience - High School Diploma or GED required
- 1-2 years of office administration experience preferred
- Experience working with permitting agencies and experience with OSP telecom and/or utility builds preferred
- Preference to a candidate residing on the Eastern Standard Time zone
- Strong analytical and problem-solving skills required
- Proficient in Microsoft Office applications - Excel, PowerPoint, Word, Vizio
- Must be able to perform and prioritize work with minimal supervision
- Able to effectively handle multiple priorities with strong attention to detail in a fast-paced environment
- Strong interpersonal, organizational, oral, and written communications skills
- Must be able to work alone and with a team
- Ability to travel up to 50% of the time, travel may be required by air or vehicle. Majority of the travel will be to your local post office and potentially a local municipal office
- Must have a valid driver's license and an acceptable driving record
- Detail-oriented and able to maintain internal and customer tracking systems.
