Project Management: Contribute to and continuously improve project management system, including processing client requests, tracking project updates and reporting time spent and images collected on behalf of the photographers. Maintain accurate records, including budgets, expenses, schedules, and production notes. Stay up-to-date on system updates and training.
Vendor Management & Financials: Process vendor payments and ensure accurate cost center coding. Assist producers with cost reporting and budget reconciliation. Create and maintain department documentation of processes and expectations for vendors.
Scheduling: Maintain production schedules, updating outlook calendars with production details, including studio time, equipment rentals, talent, locations and crew.
Media Asset Management: Support enterprise media asset management system (MAM), including upkeep of metadata, overseeing media ingest, interacting with vendors around system performance, training users and freelancers on process and systems.
Production Assistance/Photography: Support photographers/videographers in studio and on location as needed. Perform role of lead photographer as assigned for parts photography, headshots, group shots and event candid photography.
Pre-Production Support: Provide administrative support as needed, managing talent and location databases, including permits and releases. Assist producers with pre-production including but not limited to communicating calendar updates to clients, sourcing locations and talent and obtaining certificates of insurance.
Post-Production Support: Ingest video footage and perform basic video editing using Adobe Premiere and/or FinalCut Pro. Create transcripts, translations and subtitles for producers and editors.
Continuous Improvement: Stay current with industry trends, technologies, and best practices in video production and coordinate with the team to implement process improvements and workflow optimizations.
Bachelor’s degree, Associate’s degree or equivalent experience in video production, photography, communications, media studies, or related field.
0-2 years of experience in media production operations or related role.
Strong organizational skills and attention to detail.
Excellent communication and interpersonal skills.
Proficiency with video and photography equipment.
Ability to work effectively in a fast-paced, collaborative environment.
Flexibility to adapt to changing priorities and deadlines.
Knowledge of industry-standard practices and protocols.
Familiarity with project management and media asset management tools and software.
Proficient with Adobe Premiere Pro and other post-production software.

The Production Specialist I within The Toro Company’s in-house Media Production Resources department, this role is pivotal in managing the logistical and operational aspects of video, photography and live event projects. This candidate will collaborate closely with producers, directors, editors, and other team members to help ensure the smooth execution of projects. Organizational skills, attention to detail, and ability to multitask are a crucial for coordinating various aspects of production, including project management, asset management, vendor relations and financials. This role also offers the opportunity to work on the set alongside video and photography crews, as well as occasional primary photography assignments.
