      SUMMARY

      Provide Administrative support to the Operations Training Manager and trades training staff.

      ESSENTIAL FUNCTIONS AND DUTIES

      • Manage office supplies and equipment, answer multiple phone lines, and oversee the daily flow of mail, correspondence, filing, reprographic needs.
      • Maintain and update weekly LMS Progress, maintain correction of Bad Time Charges, update and approve time cards on Smarttime, update information in Peoplesoft, update Navy Deficiency Tracking System.
      • Train Production personnel on Test Documentation Process, ensure Test Procedures are issued in a timely manner, record and confirm test results for daily Callouts.
      • Facilitate conference needs with audio-visual equipment, catering and special assignments.
      • Order office supplies and assist with shipping and travel when necessary.
      • Handle special projects as assigned.
      • Use discretion when handling sensitive company and personnel matters.
      • Other responsibilities and duties as assigned.

      SKILLS AND QUALIFICATIONS

      • High School diploma or equivalent.
      • Three to five years secretarial experience.
      • Proficiency in Microsoft Word, Excel, PowerPoint and various spreadsheet programs desirable.
      • Ability to type 55 WPM.
      • Strong communication and organizational skills.
      • Must be flexible, resourceful, and be able to work fairly independently.
      • Knowledge of Company Policies and Procedures.

      PHYSICAL DEMANDS

      Work occurs in both an outdoor shipyard environment and in an office setting. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and the ability to focus. Regularly required to sit, use hands and fingers, operate computer keyboard and controls, and communicate verbally and in writing. Requires ability to commute physically to various areas of the shipyard including but not limited to shipboard activities. Must be capable of ascending/descending stairs or ladders, walking on uneven surfaces, and transiting through manholes and other confined, congested spaces. This position may work at heights and requires the ability to walk on scaffolding and work at heights aboard vessels under construction or repair. Physical dexterity must allow for bending and reaching. Must remain alert and comply with all safety requirements. While performing the duties of this position, the employee is exposed occasionally to dust, fumes, and smoke. Must be able to spend up to 10% of time in an outdoor shipyard environment in all climates. The noise level is relatively low to moderate in office environments. The noise level in the outdoor shipyard production environment is moderate to noisy 5% of time which may include sirens, horns, chipping, and hammering.

      ACCOUNTABILITY

      Responsible for timely and accurate Administration and Production support to the Test and Trials department. Provide effective and efficient Administrative support services. Improve Customer and Supplier perception of the Test department documentation and reporting system.

      PAYSCALE

      Level I: $38,700 - $52,100

      Level II: $45,200 - $68,700

      This pay range is a reasonable estimate of the salary range for this role. It takes into account the wide range of factors considered in making compensation decisions; including but not limited to skill sets, experience, training, and education.
