The Global Program Assistant position is a supporting member of the MBA Global Programs team and is tasked with administrative support for MBA Global Programs activities across Full-Time, Executive Evening, Executive Weekend, Charlotte, and Online MBA Programs. Specifically, this position supports activities related to the MBA Global Immersion Electives (GIEs), Exchange Programs, Global Entrepreneurship Lab, Vetter Dean’s Fellows Global Experience, international student support, and the MBA@UNC Summits and Immersions.
Expected functions are:
* Preparation, creation, and assembly of program materials such as name tents and tags, handouts, both digital or physical etc.
Assisting with event organization; set-up, clean up, catering, materials, booking rooms, etc.
Running reports and importing data to highly detailed Excel spreadsheets
Ensuring participant compliance with UNC international travel requirements (e.g. file for travel insurance, STEP registration, and UNC Travel Registry registration) for all Global Program participants.
Assist with editing and gathering content for mobile event applications used for each program.
Maintaining event storage spaces and supplies; managing supply inventory
Assist in marketing and communications support & social media
* General office duties as required or requested; other event-related responsibilities as needed.
Creating and managing student information for MBA@UNC Summits, Immersions, GIE, GEL, DF, and Exchange programming.
Maintaining digital program files
Managing DocuSign set up, completion, and filing for all global programs’ participants.
Communication and coordination with Alumni who attend events related to global programs.
Help manage faculty & staff travel
Manage the MBA Global Programs email account
GP front office staffing, receiving visitors, fielding questions, receiving packages, etc.Minimum Education and Experience Requirements
High school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.Required Qualifications, Competencies, and Experience
The Program Assistant requires high attention to detail, strong organization skills, and diplomatic communication skills. The candidate should have a demonstrated ability to collaborate and thrive in a fast-paced environment. Some evening and weekend work will be required.
