      Job Description

      Our Portfolio Manager is looking for a skilled and experienced Project Facilitator to join his busy and high performing team. This role will be based from our IT Department in Oldbury.

      Purpose of Position

      Supporting Portfolio and Project Managers in the facilitation, organisation and administration of key project tasks. Providing Portfolio and Project Managers with support during project meetings & workshops taking meeting minutes, updating actions, key project controls & documentation.

      The Project Facilitator is accountable to the Portfolio Manager for the day-to-day management of project administration, ensuring PMO governance & controls are maintained in all projects across the department in line with ISO standards.

      Managing the delivery of small changes (Business Change Requests), small projects and elements of work within Projects.

      Key Tasks/Areas of Responsibility

      • Support Portfolio and Project Managers during project meetings & workshops taking meeting minutes

      • Updating project controls & documentation on behalf of Portfolio Manager, Project Manager & Head of Programme Office

      • Responsible for the updating and maintaining of PMO risk & issue log, ensuring items are escalated to the Project Manager and the Portfolio Manager

      • Ensure Portfolio and Project Managers are compliant and maintain all controls & updates in line PMO & ISO standards

      • Organising key events with project teams and stakeholders as required

      • Ownership of small business changes (BCRs), small projects, and work items within projects, to be managed in accordance with governance controls

      Key Measures of Performance

      • Achieve 90% of project methodology compliance per project on ARAID

      • Effective organisation/facilitation of Projects - Agendas, Minutes and follow up
