      Summary

      £26,950 up to £36,300 per annum* - This isn’t supporting the frontline. This is the heart of the action.

      Our Head Office Property Department is looking for an enthusiastic Secretary/Administrator to join the national Property Team.

      This position will directly support the Property Director & Head of Department, as well as providing administrative support to the Property Organisation & Portfolio teams. This is a truly exciting opportunity for a candidate who thrives in a dynamic and fast-paced environment.

      We have moved to a hybrid working model with a recommended 2 days in the office per week for appropriate Head Office and Regional roles, empowering our teams to choose how and where they work best.       What you'll do

      Administrative support:

      • Assisting the Property Organisation & Portfolio teams with ad hoc tasks, administrative support, preparation of proposal packs for discussion & maintaining trackers
      • Liaising with other stakeholders to provide data, resolve issues and share best practices/improve processes
      • Preparing and managing purchase orders and invoices, assisting with accounts & service charge queries
      • Managing the property & contract information systems; ensuring good data quality & providing first level support to regional offices, as well as producing reports
      • Occasional document translation, German to English & vice versa (if German speaker)

      Secretarial tasks:

      • Telephone call screening & handling (Domestic & Lidl International – Germany); communication with stakeholders in HO departments, regional Property Offices & international support colleagues
      • Email, calendar & deadline management (Director / Senior leaders), management of departmental shared inboxes/calendars
      • Meeting scheduling & preparation (agendas / invitations / minutes)
      • Travel & event management, Holiday Request processing / monitoring
      • Processing of post (incoming / outgoing) & contracts
      • Digital Document management (incl. logging / scanning / renaming / filing)
      • Communication & co-ordination with other departmental secretaries and ensuring cover

      What you'll need

      • Previous experience in administrative or secretarial role is highly desirable, with a genuine passion for performing administrative tasks effectively, efficiently & to a high standard
      • Punctual, reliable and flexible with a keen eye for detail
      • Friendly and approachable; a motivated and proactive team player, with a can-do attitude, who is also capable of working independently
      • Excellent communication and organisational skills, good time management essential
      • A strong multitasker who has the ability to prioritise conflicting deadlines & varied workload
      • Trustworthy & discreet (working with confidential & sensitive information)
      • Proficient in MS-Office (Word, Excel, PowerPoint), experience with Microsoft Dynamics is advantageous
      • Native or fluent in English ( German language is beneficial but not essential)
